Job summary

Inchcape Shipping Services is seeking an Accounts Payable Executive in Shah Alam, Malaysia. You will manage vendor invoices, payments, and reconciliations, collaborating with Location Finance and Operations to resolve issues and ensure timely, accurate financial processing.

Candidates should have a Graduate degree, strong MS Office skills, and be willing to work on a shift basis. Knowledge of taxation basics is a plus, and there are attractive benefits and career progression opportunities.

Qualifications

• Graduate level education is required.
• Strong communication and reconciliation skills are essential.
• Good knowledge of MS Excel and basic taxation concepts.
• Experience with invoice processing, vendor reconciliations, and bank payments is preferred.

Responsibilities

• Handle invoice processing for overhead and cost of sales.
• Process employee-related expenses postings.
• Execute electronic and manual bank payments and allocate invoices.
• Monitor vendor payment deadlines and share remittances.
• Manage payment approvals with business operation managers.
• Coordinate with Location Finance/Operations for issues or escalations.
• Handle internal and vendor queries via email/calls.
• Ensure timely service with quality for invoice posting, vendor reconciliation and payments.
• Perform Vendor SOA reconciliation and clear unaccounted invoices.
• Review vendor ledgers and maintain accuracy.
• Maintain production tracker daily with correct information.

Job Purpose:

As an Accounts Payable Executive, you will play a major Part in the day-to-day accounts payable process, including vendor and subagent reconciliation, communicating with vendors, executing payment runs & Advance Payments.

Duties and Responsibilities:

• Must have good knowledge in handling Invoice processing related to Overhead and Cost of sales.
• Must have good knowledge in handling Employee related expenses postings.
• Perform Electronic & manual Bank Payment entries in system and allocating invoices in system.
• Monitor Vendor Payment deadlines by preparing payments, initiating in bank and sharing remittances.
• Administer Payment approval workflow, including seeking direct approval from business operation managers.
• Be in contact with Location Finance /Operation Team in case of any issues or escalations
• Must Handle both Internal business queries and vendor queries via email or calls.
• Deliver services timely and in line with agreed TAT with good quality for activity related to Invoice posting / vendor reconciliation / Payments

• Perform Vendor SOA reconciliation with good quality and in line with agreed TAT. Following up on unaccounted invoices with respective POC on regular basis.
• Good accounting knowledge and ensure to review and clear vendor ledgers
• Basic Knowledge in Taxation.
• Good knowledge in MS Excel with advanced formulas like V-lookup etc.
• Performing Quality Audit for posted documents.
• Maintaining Production tracker on daily basis with correct information
