Job Summary

We are seeking a detail-oriented Maintenance Assistant to support the maintenance team in documentation management and spare parts control. This role focuses on maintaining accurate records, tracking spare parts inventory, and assisting in coordination with internal teams and suppliers. Mandarin speaking candidates are preferred to support communication with Mandarin-speaking vendors and stakeholders.

Key Responsibilities
  • Maintain and update maintenance records, reports, and documentation accurately
  • Manage spare parts inventory, including stock monitoring, recording usage, and replenishment tracking
  • Source spare parts and maintenance materials from suppliers and vendors
  • Prepare purchase requisitions and follow up with suppliers for spare parts and maintenance items
  • Organise filing systems for manuals, work orders, service records, and compliance documents
  • Assist in scheduling preventive maintenance and recording maintenance activities
  • Coordinate with technicians and vendors on documentation and spare part requirements
  • Ensure records comply with company procedures and audit requirements
  • Perform general administrative support for the maintenance department
Requirements
  • Diploma or equivalent qualification in Engineering, Technical, or related field
  • Minimum 1 year of experience in maintenance administration, documentation, or spare parts management (preferred)
  • Proficient in Microsoft Office (Excel, Word)
  • Able to handle documentation systematically and with attention to detail
  • Mandarin speaking is preferred (to liaise with Mandarin-speaking suppliers/partners)
  • Good communication skills in English and Bahasa Malaysia
  • Independent, organised, and able to multitask in a fast-paced environment
