Job summary

DayOne Data Centers Malaysia I Sdn. Bhd. invites applications for a role supporting Vendor Administration, Document Control, and Purchasing Operations in Johor Bahru. You will coordinate vendor pre-qualification, maintain procurement records, and assist with PO creation and payment tracking.

Qualifications

• Spoken Chinese is mandatory.
• Proficient in Microsoft Office, especially Excel and Word.
• Able to communicate with internal stakeholders and suppliers.
• Detail-oriented and able to maintain organized documentation and records.
• Willing to learn and understand procurement and purchasing processes in construction.
• Bachelor’s degree in related field being pursued.

Responsibilities

• Coordinate with vendors to obtain supporting documents and certifications.
• Keep vendor information current in the procurement database.

• Follow up with stakeholders and suppliers to support timely procurement processing.
• Maintain accurate PR and PO records in the procurement system.
• Monitor supplier invoices and payment status; verify documents before payment.

The Role

Vendor Administration

• Support vendor pre-qualification and registration processes.
• Collect, verify, and maintain vendor documentation and records.
• Coordinate with vendors to obtain supporting documents and certifications.
• Keep vendor information current in the procurement database.

Document Control

• Maintain files for quotations, purchase orders, contracts, and vendor records.
• Keep procurement documents complete and available for reference and audit.
• Monitor document versions in line with company procedures.

Purchasing Operations

• Monitor Purchase Requisitions from Operations teams and other departments.
• Assist with preparing Purchase Orders from approved requisitions and quotations.
• Follow up with stakeholders and suppliers to support timely procurement processing.
• Maintain accurate PR and PO records in the procurement system.

Payment Tracking

• Monitor supplier and vendor invoices and payment status.
• Verify supporting documents before payment processing.
• Update payment and procurement records accurately and promptly.
• Coordinate with Finance and suppliers on payment-related matters when needed.

Requirements

• Currently pursuing a Bachelor's degree in Quantity Surveying, Construction Management, Business Administration, or a related field.
• Spoken Chinese is mandatory.
• Proficient in Microsoft Office, particularly Excel and Word.
• Able to maintain organized, accurate documentation and records.
• Able to communicate with internal stakeholders and suppliers.
• Detail-oriented, responsible, and willing to learn.
• Good to Have Basic understanding of procurement and purchasing processes in the construction industry.
