HR Operations Analyst (Indonesia Market)

Associate I, Master Data Management is responsible for maintaining accurate and up-to-date employee data across HR systems while delivering HR Shared Services support to associates and managers globally. The role serves as a key point of contact for employee lifecycle and payroll-related inquiries, ensuring timely resolution of requests, data accuracy, compliance with global and local policies, and exceptional customer service.

The position works closely with HR stakeholders, managers, associates, and cross-functional teams to support HR operations, employee data management, issue resolution, process improvements, and service excellence initiatives. The role also contributes to continuous improvement efforts by identifying process gaps, supporting root cause analysis, and recommending solutions that enhance operational efficiency and employee experience.

Additionally, Associate I is responsible for safeguarding employee data confidentiality, maintaining compliance with company policies and regulatory requirements, supporting HR system adoption, and promoting operational excellence across Human Resources Shared Services.

KEY RESPONSIBILITIES
Service Deliveries
  • Resolve day-to-day HR service requests and inquiries received through Workday and ServiceNow for associates and managers globally.
  • Take ownership of cases from receipt through closure, ensuring timely updates, accurate documentation, and adherence to agreed service levels.
  • Serve as the first point of contact for HR-related questions and provide guidance on employee lifecycle and payroll-related matters.
  • Process employee lifecycle transactions, including onboarding, employment verifications, personnel file administration, employee data changes, colleague referrals, and other HR-related transactions.
  • Process payroll-related changes in accordance with global and local processes while maintaining confidentiality and compliance requirements.
  • Support associates and managers by providing accurate information on HR systems, processes, policies, and procedures.
  • Escalate complex issues appropriately and ensure timely follow-up through resolution.
  • Support training and education activities related to HR systems, policies, and processes.
Manage Day-to-Day Activities
  • Manage and prioritize multiple requests and cases to meet operational requirements and service commitments.
  • Maintain employee data within HR systems while ensuring data accuracy, completeness, and integrity.
  • Conduct root cause analysis of recurring issues and coordinate corrective actions when required.
  • Monitor workload and case queues to ensure timely completion of assigned activities.
  • Collaborate with stakeholders and cross-functional teams to resolve employee data and HR process-related issues.
  • Proactively identify process improvement opportunities and support implementation of operational enhancements.
  • Prepare, maintain, and update standard operating procedures (SOPs), work instructions, policies, and process documentation.
  • Support regional and global HR projects, initiatives, and transition activities as required.
  • Share knowledge and best practices with team members to support operational effectiveness and continuous learning.
Compliance
  • Ensure all HR processes and transactions are executed in accordance with company policies, procedures, and global operating standards.
  • Maintain strict confidentiality and security of employee and organizational data.
  • Ensure employee data is accurate, complete, and maintained in compliance with local legal and regulatory requirements.
  • Support internal controls, audits, and compliance initiatives as required.
  • Maintain complete and auditable records of HR transactions and supporting documentation.
  • Promote a culture of quality, compliance, and continuous improvement within the HR Shared Services organization.
People & Stakeholder Management
  • Build and maintain effective working relationships with associates, managers, HR teams, and key stakeholders.
  • Deliver customer-focused support with professionalism, responsiveness, and attention to detail.
  • Collaborate effectively within the team by sharing knowledge, supporting colleagues, and contributing to a positive work environment.
  • Demonstrate flexibility and adaptability while supporting evolving business and operational needs.
  • Communicate effectively with stakeholders across different countries, cultures, and functions.
WHAT YOU'LL BRING
Education
  • Bachelor's Degree in Human Resources, Business Administration, Management, Psychology, or a related discipline.
  • Professional HR certifications are an added advantage.
Languages
  • Fluent in written and spoken Bahasa Indonesia and English.
  • Bahasa Indonesia: Supports communication with associates and stakeholders in Indonesia.
  • English: Supports collaboration with regional and global HR stakeholders.
Experience
  • 1 to 3 years of experience in HR Shared Services, Human Resources Operations, Employee Lifecycle Management, Payroll Administration, or related HR functions.
  • Hands-on experience with Workday, ServiceNow, or similar HR systems.
  • Strong understanding of employee lifecycle processes and HR data management.
  • Experience working in a multinational or shared services environment is preferred.
  • Experience managing employee inquiries, case management, and HR transactions in a customer-service-oriented environment.
  • Exposure to process improvement initiatives, issue resolution, and stakeholder engagement is an advantage.
Technical Skills
  • Workday HR transaction processing and case management.
  • ServiceNow ticket management.
  • HR data maintenance and employee records administration.
  • Microsoft Office applications, particularly Excel and Outlook.
  • Knowledge of HR operational processes and shared services practices.
  • Strong analytical, problem-solving, and documentation skills.
