What is a HR Generalist?

A HR Generalist is an all-rounder who will assist in running the daily functions of the Human Resource (HR) department including, but not limited to hiring and interviewing staff, administering benefits and leave, enforcing company policies and practice, and scheduling performance management meetings. You will be working alongside the Chief Executive Officer to grow the department and help smoothen processes to increase the proficiency of the HR department within the organization.

The Primary Responsibilities of a Human Resource Generalist
Talent Acquisition & Onboarding
  • Manage end-to-end recruitment process: job postings, candidate sourcing, interviews, background checks, and offers.
  • Facilitate onboarding and orientation programs to ensure a smooth transition for new hires.
  • Collaborate with hiring managers to identify staffing needs and develop workforce plans.
Employee Relations & Industrial Relations
  • Be a pillar of support to employees and potential applicants.
  • Manage employment-related inquiries from applicants, employees, and supervisors.
  • Attend inquiries about HR-related topics such as leave, payroll, and compensation, and resolve any issues that may arise.
  • Escalate complex or sensitive matters to appropriate staff or management.
  • Handle disciplinary issues, grievances, and disputes in compliance with Malaysian Labour Laws.
  • Lead Industrial Relations (IR) cases, including domestic inquiries, warning letters, and liaison with external bodies if required.
  • Foster a positive, inclusive, and productive workplace culture aligned with company values.
Performance Management & Development
  • Organize and oversee quarterly and annual performance reviews.
  • Undertake tasks around performance management including improvement plans, coaching, and career progression.
  • Guide managers and employees on performance improvement plans (PIPs), career development, and succession planning.
  • Partner with department heads to identify skill gaps and execute training & development initiatives.
  • Gather and analyze HR metrics such as hiring duration, turnover rates, and employee productivity.
Compensation, Benefits & Payroll Support
  • Oversee administration of employee benefits, allowances, medical/wellness claims, and leave entitlements.
  • Support payroll preparation by ensuring accurate and timely submission of employee records, deductions, and statutory contributions.
  • Enhance employee job satisfaction by resolving issues promptly, applying new perks and benefits, and organizing team-building activities.
  • Review and recommend competitive compensation packages in line with market standards.
Statutory Compliance & Government Submissions
  • Ensure compliance with Malaysian employment laws, regulations, and statutory requirements.
  • Manage all government submissions and paperwork including:
  • CP22 (Notification of new employee)
  • CP22A (Notification of cessation of employment)
  • CP38 (Additional monthly tax deduction orders)
  • EA Form (Annual employee income statement)
  • Form E (Employer’s return of remuneration)
  • Maintain knowledge of regulatory changes, best practices, and employment law to mitigate risks for the organization.
HR Policies, Systems & Administration
  • Assist in the development, implementation, and review of HR policies and processes for the well-being of employees.
  • Promote HR programs to create an efficient and conflict-free workplace.
  • Maintain accurate and confidential employee files and records in both electronic and paper formats.
  • Support HR digitalization by managing HRIS systems for efficiency in leave, payroll, and claims.
  • Organize employee engagement programs, wellness initiatives, and recognition schemes.
  • Perform other HR-related duties as assigned.
The Ideal Candidate’s Skills
  • Bachelor’s Degree in Human Resources, Business Administration, or related field.
  • Minimum 5 years of HR generalist experience, with at least 2 years in a managerial/supervisory role.
  • Strong knowledge of Malaysian Employment Act, Industrial Relations Act, and statutory HR filings (CP22, CP22A, CP38, EA, Form E).
  • Experience in handling Industrial Relations cases, disciplinary actions, and employee engagement.
  • Proficiency in digital tools and HR digitalization, including Asana (project management), Docusign (e-signatures), and Google Workspace (Meet, Gmail, Sheets).
  • Excellent communication, interpersonal, and problem-solving skills.
  • High integrity, detail-oriented, and ability to handle confidential information with discretion.
  • Proficiency in/or efficient in learning HRMS and talent management systems
