Job summary

Guan Chong Cocoa Manufacturer Sdn Bhd is seeking a Shipping Executive to coordinate shipments, manage documentation, and resolve shipment issues. The role involves handling POs, tracking overseas cargo, and ensuring compliance with customs procedures.

You will work with internal teams, suppliers and freight forwarders to ensure timely shipment execution and accurate invoicing while maintaining strong attention to detail and organizational skills.

Qualifications

• Diploma or Bachelor's Degree in Logistics, Supply Chain Management, Business Administration, or related discipline.
• 1–3 years experience in shipping, logistics, import/export or supply chain operations.
• Familiarity with shipping documents, customs procedures and international trade practices preferred.
• Proficient in Microsoft Excel and Microsoft Office applications.
• Strong attention to detail with good organizational and problem-solving skills.
• Ability to work independently and manage multiple priorities in a fast-paced environment.
• Good communication and interpersonal skills.
• French language proficiency is a plus due to coordination with French-speaking at one subsidiary.

Responsibilities

• Monitor and coordinate incoming shipments and ensure timely receipt of cargo and documents.
• Review and maintain shipment documentation for accuracy and compliance.
• Investigate and resolve discrepancies, delays or documentation issues with stakeholders.
• Process and maintain customer POs accurately in the system.
• Track cargo movements from overseas warehouses and arrange import documentation.
• Prepare and issue invoices and shipping documents to customers and Finance.
• Verify supplier invoices against shipment records and contractual requirements.
• Monitor inventory levels and reporting at ports and warehouses.
• Manage post-delivery issues, coordinating DN and CN for timely closures.
• Update sales contracts and price fixation in the ePMS system and record acknowledgements.
• Collaborate with internal departments, suppliers, freight forwarders and customers for seamless shipment execution.
