Ichia Technologies Malaysia Sdn. Bhd. is seeking a qualified Factory Admin to support daily factory operations, maintain production records, and ensure accurate documentation. The role involves coordinating attendance with HR, preparing reports, and supporting audits.
The ideal candidate holds a Diploma or Bachelor’s in Business Administration, Office Management, or Manufacturing Management, with 2–3 years in manufacturing administration, strong Microsoft Office skills, and Mandarin proficiency.
The Factory Admin is responsible for providing administrative support to factory operations, ensuring accurate documentation, coordinating production records, monitoring attendance, maintaining reports, and supporting communication between production, warehouse, HR, and other departments to ensure smooth daily operations.
Provide administrative support for daily factory and production operations.
Prepare and maintain production reports, work orders, and operational records.
Record daily production output, downtime, manpower attendance, and productivity data.
Coordinate employee attendance, overtime records, and leave information with the HR department.
Maintain and organize production documents, SOPs, work instructions, and filing systems.
Assist in scheduling meetings, training sessions, and production activities.
Prepare reports on production performance, quality issues, and KPI tracking.
Support inventory documentation and coordinate with Warehouse on material movement records.
Liaise with internal departments to ensure timely information flow.
Assist in preparing documents for internal and external audits.
Support 5S implementation by maintaining proper documentation and administrative records.
Handle general office administration, including stationery control and office supplies.
Perform data entry into ERP or production systems accurately and timely.
Assist supervisors and managers with administrative tasks and special projects as assigned.
Diploma or Bachelor's Degree in Business Administration, Office Management, Manufacturing Management, or a related field.
Minimum 2–3 years of administrative experience in a manufacturing or factory environment.
Proficient in Microsoft Office (Excel, Word, PowerPoint).
Experience using ERP/MRP systems is an added advantage.
Good organizational and document management skills.
Strong attention to detail and accuracy.
Good communication and interpersonal skills.
Ability to multitask and work under pressure.
Able to work independently and as part of a team.
Mandarin language ability is required, with good proficiency in both spoken and written Mandarin.
