The Facility Manager is responsible for the overall management, maintenance, safety, compliance and operational efficiency of the company's facilities across Malaysia, including the PJ (HQ), Parts Centres, branches, offices, warehouses, and other company-operated locations.
The role provides strategic and operational leadership for the company's facilities portfolio, ensuring that all sites are safe, compliant, well-maintained, cost-effective and fit for business operations. Facility Manager will work closely with business leaders, landlords, contractors, vendors, local authorities and internal stakeholders to ensure consistent facilities standards and a positive workplace experience across all locations
Manage the day-to-day facilities operations across the company's PJ HQ office, Parts Centres, and other branch locations throughout Malaysia.
Establish and maintain consistent facilities management standards across all sites.
Conduct regular site inspections and ensure that facility-related issues are identified and resolved promptly.
Develop preventive and corrective maintenance programmes for buildings, equipment, utilities and infrastructure.
Oversee office administration activities and ensure smooth day-to-day office operations.
Oversee and monitor the company's office dispatch operations.
Coordinate facility requirements for new branches, relocations, renovations, expansions and office closures.
Ensure facilities are operationally ready to support business requirements.
Provide facilities support for Parts Centres, branches and other operational locations, recognising their different operational requirements from corporate offices.
Oversee maintenance and servicing of building systems, including air-conditioning, electrical systems, plumbing, lifts, fire protection systems, security systems and other building infrastructure.
Manage planned preventive maintenance and ensure statutory inspections and certifications are completed on time.
Coordinate repair, renovation and improvement works with contractors and service providers.
Monitor the condition of facilities and recommend capital improvements where required.
Ensure critical facilities issues are escalated and resolved with minimal business disruption,
Ensure all facilities comply with applicable Malaysian legislation, regulatory requirements and company policies.
Partner with local OSHA, global security, risk team, and relevant functions to maintain a safe and secure working environment.
Ensure fire safety systems, emergency response arrangements and other statutory requirements are properly maintained.
Coordinate emergency preparedness, evacuation drills and business continuity requirements relating to facilities.
Support internal, external and regulatory audits relating to facilities and workplace management.
Manage facilities management vendors, contractors and service providers across Malaysia, including local government agency interaction on business licensing.
Establish clear service standards, KPIs and Service Level Agreements (SLAs).
Monitor vendor performance, quality, responsiveness and compliance.
Lead vendor selection, tendering and contract renewal processes where required.
Ensure contractors comply with company safety, security and access requirements.
Drive continuous improvement and cost optimisation through effective vendor management.
Develop and manage the annual facilities operating and capital expenditure budgets.
Monitor facilities-related expenditure and ensure spending is within approved budgets.
Identify opportunities for cost reduction without compromising safety, compliance or service quality.
Review quotations, contracts and invoices and ensure appropriate commercial governance.
Manage all facilities-related insurances.
Manage and maintain appropriate records, permits, licences, certificates and inspection reports.
Provide regular reporting on facilities costs, projects and financial performance.
Partner with HR and business stakeholders on workplace initiatives, sustainability, employee experience and office requirements.
Manage workplace services including office layout, meeting rooms, pantry/common areas, parking and other employee facilities.
Support workplace transformation, office redesign and hybrid-working initiatives where applicable.
Support the company's sustainability and environmental objectives through efficient use of energy, water and other resources.
Lead or support facilities-related projects, including office moves, renovations, expansions, refurbishments and new site openings.
Develop project plans, budgets and timelines and coordinate internal and external stakeholders.
Manage contractors and consultants to ensure projects are delivered safely on time and within budget.
Ensure appropriate handover, documentation and post-project maintenance arrangements.
Other ad-hoc task related to facilities assigned by line manager.
Bachelor's degree in Facilities Management, Engineering, Property Management, Building Management, Business Administration or a related discipline.
Minimum 8–10 years of relevant experience in facilities, workplace, property or building management.
Experience managing corporate offices as well as operational environments such as parts centres, branches or service facilities is highly preferred.
Strong experience in OSH, vendor, contractor, contract, and budget management.
Good knowledge of Malaysian workplace, building, health, and safety requirements.
Strong stakeholder management and communication skills.
Strong commercial and cost-management mindset.
