The Contract Specialist – Inventory Planner will be responsible for supporting inventory and material planning activities to ensure sufficient material availability and smooth operational flow.
The role involves demand and forecast analysis, replenishment planning, inventory monitoring, purchase requirements, material shortage management, ERP updates and coordination with internal and external stakeholders to ensure customer and operational requirements are met.
Job Responsibilities
1. Inventory & Material Planning
- Plan and monitor inventory levels to ensure sufficient materials are available to support operational requirements.
- Analyse inventory requirements based on demand, forecast and production/operational schedules.
- Monitor material availability and identify potential shortages or supply risks.
- Review inventory levels and recommend replenishment actions where required.
- Support inventory optimization while minimizing excess and obsolete stock.
2. Demand & Forecast Planning
- Analyse customer demand, forecasts and historical consumption trends.
- Support demand planning and translate requirements into material/replenishment plans.
- Monitor changes in demand and assess their potential impact on inventory and supply.
- Coordinate with relevant stakeholders to ensure planning assumptions are accurate and updated.
- Prepare and manage purchase demands/requisitions based on material requirements.
- Coordinate with buyers and purchasing teams to ensure materials are ordered and delivered on time.
- Monitor supplier delivery status and follow up on outstanding materials.
- Support expediting activities for urgent or shortage materials.
- Identify opportunities to improve purchasing efficiency and inventory availability.
4. Material Shortage & Exception Management
- Monitor material shortages and identify potential risks to operations or customer delivery.
- Investigate root causes of shortages, delays and inventory discrepancies.
- Coordinate with relevant departments to develop recovery or mitigation plans.
- Escalate critical material or supply issues to the appropriate stakeholders.
- Track corrective actions until the issue is resolved.
5. ERP & Master Data Management
- Maintain accurate inventory and material planning information in the ERP system.
- Update relevant material, inventory and planning records.
- Support maintenance of master data, including material information and BOM-related data where applicable.
- Generate and analyse system reports to support inventory and planning decisions.
- Ensure planning data is accurate and updated in a timely manner.
6. Cross-Functional Coordination
- Work closely with Purchasing, Buyers, Engineering, Operations, Warehouse, Production and Customer Service teams.
- Coordinate material availability and delivery requirements across different stakeholders.
- Communicate changes in demand, material status and delivery schedules.
- Participate in planning meetings and provide updates on inventory and material status.
- Prepare inventory, material availability and planning reports.
- Monitor planning KPIs and identify areas for improvement.
- Analyse data to identify trends, supply risks and inventory optimization opportunities.
- Participate in process improvement and cost-reduction initiatives.
- Support management with relevant planning analysis and recommendations.
Requirements
- Bachelor's Degree in Supply Chain Management, Logistics, Business, Engineering, Operations Management or a related discipline.
- Minimum 3 years of relevant experience in production planning, material planning, inventory planning or supply chain planning.
- Experience within a manufacturing, semiconductor, electronics or high-volume operational environment will be highly relevant.
- Strong knowledge of inventory management, material planning and replenishment.
- Experience in demand forecasting and supply-demand analysis.
- Experience handling material shortages, expediting and supply issues.
- Experience coordinating with Purchasing/Buyers, Engineering, Production/Operations and Warehouse teams.
- Experience using ERP systems such as SAP, Oracle, Microsoft Dynamics or other relevant systems.
- Knowledge of MRP, BOM, material requirements and inventory planning will be an advantage.
- Strong analytical and problem-solving skills.
- Good command of English and Bahasa Malaysia.
- Proficient in Microsoft Excel and other Microsoft Office applications.
- Good communication and stakeholder management skills.
- Able to work in a fast-paced and deadline-driven environment.
- Willing to work on-site in Bayan Lepas, Penang, based on the stated work arrangement.
