Job summary

KPJ Selangor Specialist Hospital in Selangor is seeking an experienced outpatient clinic administrator to manage the resident/sessional consultant's clinic, coordinate clinical, academic and professional activities, and report to the Outpatient Department In Charge.

The role involves scheduling appointments and surgery times, guiding patient enquiries, coordinating with Radiology, Laboratory, and other departments, and ensuring ISO/HALAL/HACCP compliance while safeguarding patient data under

• SPM required and minimum 1 year related experience.
• Proficient in MS Office (Word/Excel).
• Strong English and Bahasa Malaysia communication skills.
• Patient-centered with high integrity and teamwork.

Responsibilities

• To manage Resident/Sessional Consultant outpatient clinic including scheduling of outpatient appointments and surgery times, and ensuring the smooth running of the clinic.
• To facilitate patient enquiries relating to outpatient appointments, and hospital admissions, including admission procedures, insurance, billing, discharge, and follow-up care.
• To assist to send patients to other department such as Radiology, Laboratory, etc for clinical investigations or tests.
• To schedule patient appointment via system (ENCOREMED) and optimize scheduling to ensure coordinated care.
• To update on daily census and manage database filing systems; dispatch patient records to HIMS after clinic.
• Perform additional tasks assigned by superior to support clinic operations and patient care.
• Ensure clinic environment is clean, organized and stocked for daily operations.
• Maintain patient privacy by following PDPA rules.
• Prepare and review appointment lists two days in advance and confirm with patients by phone.
• Ensure conformance to ISO 9001:2008, ISO 14001:2004 OHSAS 18001:2007, HALAL, HACCP and Malaysian Hospital Accreditation Standards.
• Comply with Baby Friendly Hospital requirements and 10 steps of breastfeeding.
• Adopt Patient Safety Goals as recommended by World Alliance for Patient Safety (2008).

GENERAL DESCRIPTION :

The postholder is responsible for managing the outpatient clinic for resident/sessional consultant, and coordinating his clinical, academic, and professional activities. The post holder reports to Outpatient Department In Charge

JOB DESCRIPTION :

• To manage Resident/Sessional Consultant outpatient clinic including appropriate scheduling of outpatient appointments and surgery times, and ensuring the smooth running of the clinic to the satisfaction of all patients
• To facilitate patient enquiries relating to their outpatient appointments, and hospital admissions, including date of admission, admission procedures, insurance, billing, discharge, and follow-up care by ensure all the form required is complete
• To assist to send patients to other department such as Radiology, Laboratory, etc for clinical investigations or tests.
• To schedule patient appointment via system (ENCOREMED) and to fully utilize the appointment system to streamline scheduling, enhance patient engagement, and ensure a smooth and coordinated care experience throughout the patient's journey
• To update on daily census and manage database filing systems. Dispatched patient medical records to HIMS after clinic session is closed.
• Perform additional tasks or responsibilities as assigned by superior or upper management, supporting clinic operations and ensuring high-quality patient care as needed
• Ensure the clinic environment is clean, tidy, and well-organized always, with all necessary equipment and supplies prepared and ready for daily operations
• Make sure all patient information is kept private and safe by following PDPA rules and clinic guidelines when handling records.
• Prepare and review appointment lists two days in advance, confirm with patients by phone, and submit GL requests in advance at the GL counter. And update the consultant on the final schedule
• Ensure conformance to all policies and procedures of ISO 9001:2008, ISO 14001:2004 OHSAS 18001:2007, HALAL, HACCP and Malaysian Hospital Accreditation Standards.
• Comply with the Baby Friendly Hospital requirements and adhere to 10 steps of successful breastfeeding
• Adopt and practices the Patient Safety Goals as safety improvement measures recommended by World Alliance for Patient Safety (2008)

JOB REQUIREMENT :

• SPM
• Minimum 1 year experience in related field.
• Basic Course in Microsoft Office, Microsoft Excel or its equivalent
• Proficient in writing and conversing in English and Bahasa Malaysia.
