Dhaya Maju Infrastructure (Asia) Sdn Berhad is seeking an experienced Document Controller to oversee the project document control system for major infrastructure initiatives in Malaysia. The role ensures proper registration, reviews, approvals, distribution, revision, and archiving of all project documents in line with QMS/ISO standards.
The ideal candidate holds a degree in a related field and brings 8–12 years of document management experience, including at least 5 years in a supervisory
Responsible for managing and controlling all project documents, drawings, technical submissions, correspondence, records, and project information throughout the KVDT2 project lifecycle. The role ensures that documents are properly registered, reviewed, approved, distributed, revised, archived, and readily retrievable in accordance with project procedures, contractual requirements, and quality management standards.
Manage the overall project Document Control System and Master Document Register.
Control technical documents, engineering drawings, specifications, method statements, RFIs, technical submissions, and project correspondence.
Manage document numbering, revision control, transmittals, distribution, approval status, and document workflows.
Maintain accurate registers for drawings, correspondence, RFIs, NCRs, site records, testing & commissioning documents, and handover documents.
Administer the Electronic Document Management System (EDMS)/Common Data Environment (CDE).
Ensure project teams have access to the latest approved and controlled documents.
Monitor outstanding and overdue submissions, reviews, approvals, and responses.
Support project audits and ensure compliance with document control procedures, QMS/ISO requirements, and contractual requirements.
Coordinate compilation of as-built drawings, O&M manuals, testing records, certificates, and final project handover documentation.
Prepare document control reports, dashboards, and KPIs for Project Management.
Coordinate closely with the Client, Consultant, Contractors, Engineers, Construction Team, QA/QC, Commercial, Planning, Procurement, and Testing & Commissioning teams.
Degree in Document Management, Engineering, Construction, Project Management, Business Administration, or related field.
Approximately 8–12 years’ relevant experience, including at least 5 years in a supervisory/managerial role.
Experience in major railway, infrastructure, transportation, civil engineering, or construction projects preferred.
