Job summary

GD Pavilion Sdn Bhd is seeking an Assitant Contract Manager to oversee all pre-contract and post-contract administration, ensuring strong cost control, contract compliance, and commercial management for maintenance and renovation projects.

The role includes leading pre-contract activities, evaluating tenders, managing variations, EOT, and final accounts, as well as coordinating with Procurement, Maintenance, and Finance to ensure regulatory compliance and strong documentation.

Qualifications

  • Degree or Diploma in Quantity Surveying, Construction Management, or related field.
  • Minimum 5–7 years of relevant experience in contract management, preferably in construction, maintenance, or renovation works.
  • Strong knowledge in contract administration, cost management, and commercial practices.
  • Good negotiation, analytical, and problem-solving skills.
  • Strong documentation and report preparation ability.
  • Good interpersonal and communication skills.

Responsibilities

  • Oversee pre-contract activities including cost review, tender evaluation, and contract award recommendations.
  • Manage post-contract administration including variations, claims, EOT, and final account settlement.
  • Review quotations, project costing, and progress claims before submission to the mother company.
  • Ensure contract documentation complies with company policies and regulatory requirements.
  • Coordinate with Procurement, Maintenance, and Finance on contractual and commercial matters.
  • Establish and improve contract management procedures, templates, and reporting systems.
  • Ensure contract management processes comply with ISO 9001 Quality Management System requirements.
  • Perform other duties as assigned by Management.

Job description

The Assitant Contract Manager is responsible for overseeing all pre-contract and post-contract administration to ensure effective cost control, contract compliance, and commercial management for the company’s projects, including maintenance and renovation works. This role ensures that contractual matters are properly managed, risks are mitigated, and documentation is maintained in accordance with company procedures and quality management standards.

Job Specification:
1. Pre-Contract Management

Lead and manage all pre-contract activities including cost review, quotation preparation, tender evaluation, and contract award recommendations.

Evaluate tender submissions and ensure cost competitiveness and compliance with project requirements.

Prepare cost estimates and contract documentation for project approval.

2. Post-Contract Administration

Oversee post-contract administration including preparation and management of contract documents, variations, claims, Extension of Time (EOT), and final account settlement.

Ensure all contractual obligations are executed in accordance with agreed terms and conditions.

3. Cost and Commercial Control

Review and verify quotations, project costing, and progress claims before submission to the mother company.

Monitor project cost performance and ensure effective commercial control for maintenance and renovation works.

4. Contract Documentation & Compliance

Manage contractual correspondence and maintain accurate contract documentation and records.

Ensure all contract documentation complies with company policies and regulatory requirements.

Identify potential contractual risks and provide professional advice to management to safeguard the company’s interests.

Assist management in contract negotiations and dispute avoidance strategies.

6. Coordination & Stakeholder Management

Coordinate closely with the Procurement, Maintenance, and Finance departments on contractual and commercial matters.

Support project teams by providing guidance on contract interpretation and administration.

7. Process Improvement

Establish and improve contract management procedures, templates, and reporting systems within the department.

Implement best practices to enhance efficiency in contract administration.

8. Quality Management System

Ensure contract management processes comply with ISO 9001 Quality Management System requirements.

Maintain proper records and documentation to support internal and external audits.

9. Other Duties

Perform any other duties or responsibilities assigned by the Management or immediate superior from time to time.

Job Requirements
Education

Degree or Diploma in Quantity Surveying, Construction Management, or related field.

Experience

Minimum 5–7 years of relevant experience in contract management, preferably in construction, maintenance, or renovation works.

Knowledge & Skills

Strong knowledge in contract administration, cost management, and commercial practices.

Good negotiation, analytical, and problem-solving skills.

Strong documentation and report preparation ability.

Good interpersonal and communication skills.

Technical Skills

Computer literate with proficiency in:

Familiar with current social media platforms.
