A leading project management firm in León, Guanajuato is seeking an Administrative Assistant to support Project Managers with various tasks. Responsibilities include preparing client correspondence, maintaining ERP information, and assisting with project data monitoring. The ideal candidate will possess a Bachelor’s degree in business administration and at least one year of experience with data entry. The following duties are typical of the position, but are not all encompassing.
Responsibilities include those required to deliver quality service on schedule and within budget in a team environment.
1. Assists & support Project Managers with day-to-day administrative tasks.
Preparation of letters to clients (project closures, non-debts, letters with bank information, etc.)
2. Understand SSOE ´s financial and ERP (Enterprise Resource Planning) platform.
Create & follow up opportunities projects in SSOE ERP Systems.
Maintain correct and updated information for potential SSOE projects and clients.
3. Provide support to PMs team for data monitoring for planning and execution activities and phases for MX projects.
4. Management of supplier portals and platform for bidding purposes and Invoices.
5. Prepare Bill / Invoice drafts under PM Requirement.
6. Provide support for procurement activities & PO placement (new subcontractors vendors set up, quotes review).
7. May provide support to general administrative teams, for lunch and refreshments or prepare
conference rooms for meetings.
8. May provide support to the Project Controller to provide information & customized reports to different areas in the company, related to MX projects.
9. Arrange project travels for PM and SSOE project team.
10. May assist PM ´s with file management of technical project information (ACC project support).
11. May assist with training of new Project Management Assistants and / or new project team members to familiarize them with SSOE and customer-specific procedures.
