Siemens Mobility is seeking an IT Software Asset & License Management Analyst to oversee software licensing, renewals, and vendor contracts. The role focuses on optimizing software assets, ensuring compliance, and controlling costs while aligning with procurement governance.

The specialist will coordinate renewal planning, supplier engagement, contract reviews, and related procurement activities, serving as a key advisor on entitlement decisions and licensing optimization.

Formación

  • Bachelor's degree in Business Administration, Finance, Information Technology, Supply Chain Management, or related field.

The IT Software Asset & License Management Analyst is responsible for overseeing software licensing, subscription renewals, vendor contracts, and software asset optimization. The role ensures that existing licenses are effectively utilized before new purchases are initiated, helping the organization improve productivity, maintain compliance, and control software costs. The Specialist coordinates renewal planning, vendor engagement, contract reviews, and related procurement activities while serving as a key advisor for software entitlement and licensing decisions.

Key Responsibilities

IT Service Ownership & Renewal Management

  • Manage the lifecycle of IT software licenses, subscriptions, and vendor-supported services, ensuring continuity, compliance, and cost optimization.
  • Lead annual renewals for assigned IT services, software subscriptions, maintenance agreements, and vendor contracts.
  • Monitor license utilization and consumption to maximize the value of existing entitlements before initiating new purchases or license expansions.
  • Identify opportunities to consolidate, standardize, right-size, and optimize software licensing agreements to improve productivity and reduce costs.
  • Maintain accurate service and license inventories, including:

Ø License quantities and utilization metrics

  • Partner with IT service owners and business stakeholders to validate requirements, forecast demand, and assess available license capacity.
  • Review licensing models, vendor proposals, and contract terms to evaluate impacts on service costs, business requirements, and software compliance.
  • Collaborate with Supply Chain Management (SCM) and vendors to review quotations, identify pricing or scope changes, and support commercial negotiations.
  • Coordinate business approvals for renewals, additions, reductions, and service modifications while ensuring alignment with budget and operational requirements.
  • Track renewal schedules and proactively mitigate risks associated with contract expirations, service interruptions, or procurement delays.
  • Support service transition and transformation initiatives when alternative solutions, platforms, or licensing models are being evaluated.
  • Ensure compliance with software licensing agreements, vendor contracts, procurement governance, and internal policies.
  • Support procurement activities through OneSRM, MyMall, and SAP, including purchase requisitions and purchase orders when required to maintain service continuity and execute approved licensing decisions.
  • Resolve licensing, vendor, and subscription-related issues, including entitlement discrepancies, renewal inquiries, invoice concerns, and contract-related questions
  • Maintain and update annual cost allocation models across participating business units.
  • Validate allocation adjustments resulting from service, site, or licensing changes.
  • Partner with IT Finance on budgeting, forecasting, chargeback, and cost management activities.
  • Provide detailed cost analyses and billing information to internal stakeholders.
  • Maintain financial records supporting allocations, renewals, chargebacks, and procurement decisions.
  • Act as the primary IT contact for commercial discussions involving vendors and Procurement.
  • Coordinate activities related to quotations, contracts, purchase orders, renewals, and service changes.
  • Escalate and resolve commercial, billing, licensing, and contractual issues.
  • Monitor vendor commitments, contract obligations, renewal deadlines, and commercial terms.
  • Foster effective relationships with strategic vendors and procurement partners.
  • Partner with software vendors, Procurement, and Finance to forecast future licensing requirements and associated budget impacts.
  • Support vendor negotiations by providing license utilization metrics, entitlement analysis, compliance status, and optimization recommendations.
  • Coordinate software license audits and support internal and external compliance reviews.
  • Ensure vendor licensing agreements are aligned with organizational usage requirements, contractual obligations, and governance standards.

Governance & Stakeholder Management

  • Maintain accurate service documentation, renewal history, and stakeholder records.
  • Provide regular status updates to business owners, Finance, Procurement, and leadership teams.
  • Ensure compliance with governance requirements, audit controls, and procurement standards.
  • Support continuous improvement initiatives related to procurement, renewals, and service management processes.

Required Qualifications

Education

  • Bachelor's degree in Business Administration, Finance, Information Technology, Supply Chain Management, or related field.

Experience

  • 3-5 years of experience in procurement, vendor management, IT service management, finance operations, or related functions.
  • Experience working with purchase requisition and purchase order processes.
  • Experience managing software licensing, service renewals, or vendor contracts.
  • Experience collaborating with Finance, Procurement, and business stakeholders.

Technical Skills

  • Procurement platforms (OneSRM, SAP, or equivalent).
  • Microsoft Excel and financial analysis.
  • Contract and vendor management.
  • Cost allocation and chargeback methodologies.
  • IT service and software lifecycle management.
