A leading remote work support company is looking for an Executive Assistant to help the CEO manage a busy schedule and operations. This role requires exceptional organizational skills, proactive problem-solving abilities, and a capacity for fast responses. Candidates should have 3-5 years of experience supporting C-level executives, thrive in remote environments, and be comfortable handling sensitive information. We are seeking a highly organized, fast-moving, and exceptionally detail-oriented Executive Assistant to support the CEO.
This role is ideal for someone who thrives in a high-stakes, fast-paced environment where prioritization, problem-solving, and adaptability are key.
You will act as a strategic partner, ensuring the CEO's time and attention are focused on the highest-impact tasks while proactively managing day-to-day operations.
Own the CEO's calendar, ensuring all meetings, deadlines, and priorities are seamlessly managed.
Anticipate conflicts and proactively adjust as needed.
Triage and manage the CEO's daily inbox and Slack / voice messages and ensure nothing is forgotten with same-day responses.
Keep projects and initiatives on track by following up with internal and external stakeholders, ensuring deliverables are met.
Organize complex information and data into a decision-ready format.
Analyze data and calculate metrics as needed.
Ensure the CEO is well-prepared for every meeting with briefing documents, background notes, and key questions.
Own meeting recaps and follow‑up action tracking.
Identify inefficiencies and improve systems to increase effectiveness and speed.
Research projects : Conduct competitive intel, market research, and vendor analysis.
Schedule personal appointments, organize travel arrangements, and manage logistics.
Track expenses and handle financial admin tasks.
Interface with co‑founder, Head of Marketing, Head of Operations, and other team members.
Serve as liaison when the CEO is unavailable for meetings / requests.
Insanely organized : Lives and breathes systems and processes.
Obsessively proactive : Anticipates needs before being asked, takes initiative constantly.
Incredibly fast : Same-day (often same‑hour) response times.
Error‑free work : No mistakes, high attention to detail.
Tech‑savvy : Internet native, expert with Slack and Google Workspace.
Spreadsheet competent : Comfortable with basic data analysis in Excel / Google Sheets.
Client service mindset : Genuinely motivated by making executives' lives easier and doing exceptional work.
Works independently : Minimal supervision needed, takes ownership, and runs with tasks.
3 - 5 years of experience as an Executive Assistant.
Must have supported a CEO or C‑level executive.
Excellent references from past executives.
Experience in fast‑paced, remote‑first environments.

Availability to work Full‑time (40 hours / week).
Same‑day response time on all communications is mandatory.
