Benefits Specialist

About the Role
The Benefits Specialist provides daily support to clients and employees through emails and phone calls. This role involves coordinating benefits administrative processes such as qualifying life events, eligibility questions, ID card requests, coverage confirmations, and disability forms. Responsibilities include handling inquiries about benefit billing, payroll deductions, COBRA, and retirement benefits. The specialist also supports benefit-related projects, maintains databases, and assists with Open Enrollment while meeting operational metrics and SLA requirements.
Responsibilities
- Inquiry Management: Monitor and respond to employee inquiries via the department’s Zoom phone queue. Address employee benefit-related questions via email, cases, or task management systems.
- Open Enrollment: Prepare Open Enrollment workbooks and support OE tasks.
- Claims & Enrollment: Process life insurance, Short-Term Disability, and Long-Term Disability claims; assist with claims resolution, plan changes, and enrollment updates.
- Payroll & Deductions: Ensure accurate and timely employee benefit enrollments and payroll deductions. Set up and maintain employee deductions and employer contributions within payroll systems. Resolve urgent payroll deduction discrepancies.
- Lifecycle Events: Process qualifying life events per plan guidelines and company policy.
- Audit & Compliance: Audit employee benefit deductions and calculate arrears for missed deductions. Generate reports and respond to payroll or benefits audit requests.
- Carrier Coordination: Assist employees in resolving unpaid claims or benefits-related issues. Communicate directly with insurance carriers to clarify plan details. Access carrier portals for manual changes, updates, enrollment confirmation, and ID card requests.
- System Maintenance: Process manual benefit enrollments, updates, and terminations as needed. Handle system updates for benefit enrollments, changes, and terminations.
- Operational Excellence: Maintain general knowledge of benefits areas including Billing, Reconciliation, COBRA, and Retirement. Adhere to KPIs and operational metrics in the benefits department. Support clients with benefit administration for smooth operations.
- Special Projects: Participate in special projects assigned by leadership supporting Benefits Administration.
Skills & Qualifications
- Technical Proficiency: Intermediate proficiency in Office tools. Familiarity with Client Space, Prism HR, and other relevant systems.
- Soft Skills: Strong customer service skills. Excellent organizational skills, teamwork, patience, attention to detail, willingness to learn, flexibility, and proactivity.
- Language: Advanced English proficiency (90% reading, writing, conversational).
- Education: Professional degree in Business Administration and/or Accounting Sciences; Accounting degree preferred.
- Experience: 3 to 5 years of professional experience. Minimum 2 years in Benefits Administration. 2 to 5 years in customer service, client-facing roles, or administrative assistance.
Salary: $3,200,000 - $3,200,000 a month
