A multinational life sciences consulting firm is seeking an administrative support professional to provide on-site and virtual assistance. Responsibilities include managing confidential document disposal, planning corporate meetings, and handling invoices. The ideal candidate will have good organizational and English skills, as well as the ability to work independently and detail-oriented amid various office tasks. This position requires a proactive individual to support management and enhance office operations.

ABOUT THIS ROLE :

This position is required to provide onsite office support to the Mexico office as well as virtual support for other colleagues.

Main activities might include :

  • Organization of disposal of confidential documents (shredding, destruction ) and recycling.
  • Participate in planning and coordination of corporate meetings and events.
  • Participate in local meetings, follow up on action items with line manager.
  • Provide reception and guest services, welcome visitors and employees.
  • Process courier labels for mail and scheduled deliveries.
  • Follow and enforce visitor management policies.
  • Invoice and payable coding through Kofax and Oracle system.
  • First contact point for office support.
  • Finance services : scanning invoices, handling invoice reminders.
  • Procurement : raising requisitions for new and current vendors, processing and tracking POs and invoices, maintaining payable records.
  • IT : liaising with IT Manager on recycling of material, raising tickets for planned electricity interruption, collecting return material from leavers.
  • HR : Coordinating availability and coordinating of HSE requirements to meet government regulations.
  • Support manager as needed to maintain shared folder of documents, reports, contracts, etc.
  • Good English skills.
  • Since the selected employee will be working alone for most of their time, it is necessary for them to be organized, independent, and detail-oriented in order to carry out their tasks appropriately.
