Qualifications

  • Experience in educational or admissions-driven environment is a plus.

Job Summary

The Events Coordinator plans, organises, and delivers a wide range of school events, including student and parent activities, prospective parent and admissions events, public carnivals and PR activations, and graduation celebrations. The role manages everything from budgets and vendors to on‑the‑day execution, ensuring each event runs smoothly and reinforces the school’s brand, reputation, and values.

Key areas of responsibility
  • Event Planning and Execution: Plan, coordinate, and deliver events across the school calendar, including student events, parent engagement activities, carnivals, community activities, prospective parent open days, and admissions events.
  • Public Events: Organise and represent the school at PR events held in malls or other external locations, ensuring strong brand visibility and positive public engagement.
  • Milestone Celebrations: Lead the planning and delivery of graduation celebrations and other significant school milestones, ensuring these events run smoothly and reflect well on the school.
  • Vendor and Logistics Management: Source, negotiate with, and manage vendors, suppliers, and external partners (catering, AV, decor, venues, entertainment, etc.) to ensure cost‑effective and high‑quality event delivery.
  • Budget Management: Manage event budgets, tracking expenses and ensuring events are delivered within allocated resources.
  • Cross‑Functional Coordination: Work closely with school leadership, teaching staff, admissions, and the wider MAC team to align event objectives with marketing and admissions strategy.
  • On‑the‑Day Management: Oversee event setup and on‑the‑day execution, troubleshooting issues in real time to ensure smooth execution, along with closeout after the event.
  • Promotion and Communication: Support with promotion of events through appropriate channels (email, website, social media, WhatsApp) and manage RSVPs/attendee communications.
  • Post‑Event Evaluation: Gather feedback, evaluate event success against objectives, and provide reports/recommendations for future improvement.
  • Health and Safety/Compliance: Ensure all events comply with school safeguarding policies, health and safety regulations, local/ministry regulations, and any relevant venue/site requirements.
Person Specification
Qualifications and Experience
  • Bachelor's degree in Event Management, Marketing, Communications, Hospitality, or a related field (or equivalent practical experience).
  • 1-3 years of experience in event planning or coordination, ideally across varied event types (community, corporate, or educational).
  • Experience managing vendors, budgets, and logistics for multiple concurrent events.
  • Experience in an educational institution or admissions‑driven environment is a plus, though not essential.
Skills and Attributes
  • Excellent organisational and multitasking skills, with strong attention to detail.
  • Strong interpersonal and communication skills, comfortable liaising with parents, staff, vendors, and the public.
  • Ability to remain calm and solutions‑focused under pressure, particularly during live events.
  • Creative flair for designing engaging, memorable event experiences.
  • Flexibility to work outside standard hours (evenings/weekends) as events require, and willingness to travel to external/public event locations.
  • Budget management skills with a cost‑conscious approach to planning.
  • A collaborative team player who can also take initiative and work independently.
  • An existing network with relevant vendors, partners, malls, or contacts in the events space is a strong plus.

Prospective candidates should submit the details of at least two previous employers as referees which must be their two most recent employers, covering a minimum of four years of employment, or all of their employment if the candidate has less than four years of experience.

If a candidate has only one previous employer, two references can be provided from the same employer.

For candidates in a school where the line manager is providing a reference, the reference must be countersigned by the Head Teacher or Principal.
