Proficiency in MS Office is essential, as well as a strong sense of confidentiality and discretion.

Competenze

  • 10+ years of experience in a dedicated support role for a C‑Suite Executive.
  • Fluent in Italian and English; French is a plus.
  • Ability to handle confidential information with discretion.

Mansioni

  • Manage calendars, correspondence, and worldwide travel arrangements.

For an investment company, wholly owned by its Founders, we are looking for a world‑class :

SENIOR EXECUTIVE ASSISTANT

The mission is to amplify the Founders ‘effectiveness, ensuring priorities are clear, meetings are efficient, action items are executed and projects move forward without bottlenecks. The candidate will bring structure, accountability, and operational clarity to a fast‑moving founders‑led business, all while handling the mix of personal and business logistics that make it possible for the Founders to focus on growth and strategy.

Tasks and Responsibilities
  • Manage calendars, correspondence, meetings, presentations, and worldwide travel arrangements with precision and professionalism
  • Mail management – read incoming emails and post – pass on messages and information in a timely manner, compose emails and draft correspondence
  • Global client liaison – act as point of contact for Chairman / Founder, liaising with high‑profile members of the business world. Manage contacts and establish strong relationships with internal and external contacts
  • Handling of confidential information and documentation, prepare documents for meetings and detailed travel packs
  • Personal administration in liaison with the Family officer based outside Italy : personal banking, bank statements, credit card reconciliation, making payments, processing and handling insurance claims, maintaining tax records, liaising with advisers, accountants, contractors, household staff and drivers (mainly in Italy and France), handling property matters (insurance, interior designer, builders and contractors...), arranging medical appointments and health insurance reimbursements
  • Keeping filing system updated
  • Ad‑hoc Administration
  • Responsible for the day to day running of the office
  • Oversee personal appointments and social events.
Requirements
  • Education : Bachelor / Master’s Degree
  • Experience : 10+ years of experience in a dedicated support role for a C‑Suite Executive, Founder, or Principal.
  • Languages : Italian, Fluent English (mandatory), French is a plus
  • Skills : Strong interpersonal skills with executive maturity, emotional intelligence and the ability to build trust quickly, strong sense of confidentiality and discretion, excellent communication skills, hands‑on approach with ownership and accountability, attention to detail, accuracy and ability to manage multiple priorities. Proficiency in MS Office (Outlook, Word, Excel, PowerPoint, Teams).
