Multi-Media Lab & Equipment Coordinator

The American University of Rome is looking for a part‑time (20 hours/week) Multi‑Media Lab & Equipment Coordinator to join their IT team. The candidate will be responsible for servicing and managing specialized labs and equipment that support AUR’s academic programs in Communication & Digital Media and Film. The Coordinator should possess a high‑level skill set in audio/visual systems and applications and have a strong understanding of the principles of digital media and film design.

Key Responsibilities

Inventory & Maintenance

  • Keep a comprehensive inventory of cameras, audio gear, computers, and software, including maintenance schedules, warranties, and end‑of‑life planning.
  • Purchase replacement gear and coordinate facility or equipment upgrades in consultation with IT and program directors.

Access & Checkout

  • Deploy and manage a campus‑wide booking system for labs, studios, and post‑production rooms.
  • Oversee daily check‑out / return procedures, ensure equipment and supplies are available for classes, labs, and special events, and track any loss or damage.

Lab & Software Administration

  • Maintain multimedia‑lab computers: perform operating‑system and software upgrades, updates, and patches. Engage in mobile‑device‑management (MDM) tools such as In‑Tune, and manage disk storage availability.
  • Provide first‑line troubleshooting and technical support for production software (Adobe Creative Cloud, DaVinci Resolve, Blender, etc.) and film‑production equipment.

Student Support

  • Offer technical advice during lab assistance / check‑out opening hours.
  • Arrange extended loans for capstone students, coordinating with faculty mentors to avoid conflicts with regular coursework.
  • Compile usage metrics and cost data for the Finance Office to inform and monitor operating and capital‑expenditure.
  • On a yearly basis, gather new department equipment needs and space requests and compile an initial budget/space proposal for submission to the IT Director. Ensure proposal aligns with Program outcomes assessment results.
  • Produce a concise utilization report each term for IT leadership and other stakeholders.
  • Supervise and train student assistants who staff the labs and run the equipment‑checkout desk.
  • Work with Program Directors to maintain an online portal showcasing student film and media projects produced at the University.
Required Qualifications
  • Bachelor’s degree in a related field or the equivalent in work experience.
  • A high‑level skill set in AV technologies, equipment and applications. Including film making equipment, computers, operating systems and film specific applications. Must be autonomous in providing 1st‑level 2nd‑level support to students and department faculty.
  • A sound understanding of digital media and film design concepts.
  • At least 3 years’ proven work experience in a similar role.
  • Strong problem‑solving skills, be able to engage in independent study of solutions to problems.
  • Strong analytical and critical thinking skills.
  • Strong communication skills with the ability to explain complex technology related issues to non‑skilled users.
  • Advanced written and spoken English, must be able to hold conversation with native speakers.
  • Demonstrated ability to work across cultures, value differences and have an inclusive approach.
Additional Information
  • This position is based on the AUR campus in Rome, Italy.
  • Candidates must either hold a valid Italian work permit.
  • Reporting line: Reports to the Director of Computer Services; joins a team of four.
