YOUR IMPACT
As part of our team, you will play a critical role in supporting the Hospitality program and event operations for a Top Olympic & Paralympic sponsor. You will report to the Account Director.
Planning Phase
- Support the coordination of hospitality program development across transportation, procurement, food & beverage, staffing, and special events.
- Manage all aspects of local supplier engagement, contract negotiation, and payment processing, ensuring compliance with Italian regulations and client requirements.
- Oversee the logistics for staff accommodations (room blocks, housekeeping, general Q&A), staff office identification, contracting and setup (floorplans, furniture), and on‑ground staff equipment needs (radios, etc.).
- Accommodations planning (rooming lists, room drops, housekeeping, check‑in/out, incidentals/billing, BEOs).
- Hotel food and beverage planning and on‑site troubleshooting.
- Hospitality lounge operations planning.
- Support the Account Director in conducting staff interviews, hiring, onboarding, orientation, customer service training and standard setting, scheduling, and on‑site troubleshooting.
- Shipping coordination, as required.
- Site inspection planning and execution.
- Assist in the development of operational plans, timelines, and schedules to ensure seamless event execution.
- Liaise with internal stakeholders and external partners to align objectives and ensure all logistical needs are met.
Games‑Time Responsibilities
- Serve as the liaison with suppliers, venues, and clients to guarantee smooth operations.
- Be present onsite at key program locations (hospitality lounge, restaurants, cultural activities, sport events) to oversee execution, troubleshoot issues, and ensure a high‑quality guest experience.
- Support the onboarding, training, and management of local hospitality staff to maintain service excellence.
Requirements
- 3‑5 years of experience working in large‑scale international events (sports events, congresses, festivals, or similar).
- Proven project management skills, with the ability to meet deadlines, anticipate needs, and manage multiple priorities effectively.
- Strong proficiency in Microsoft Excel, with the ability to analyze data and manage large datasets efficiently.
- Demonstrated experience in managing event logistics, coordinating with suppliers, and overseeing staff onsite.
- Fluent in Italian and English, both written and spoken.
- Familiarity with Milan.
- Strong problem‑solving skills, with the ability to remain calm under pressure and adapt to changing circumstances.
