Admin Coordinator

About the Role we are looking for an Admin Coordinator that will drive Admin Department and will be point of contact with esternal Accountant and our Accounting Team in HQ. Fluent English is a must.

Responsibilities
  • Check & managements of all Administration Dept. activities with exception of the Legal activities.
  • Passive cycle: verification of telephony and internet costs and vendors invoices, matching with related approvals. Active Cycle: Calculation Monthly Fee Services to ASNL; sending to external provider of information useful for issuing invoices and self-bills to third parties and employees.
  • Control and management of corporate cash flow: vendor and third party payments excluding HR accrual payments; payment of car taxes, insurance, withholdings and various taxes.
  • Collaboration with Purchase & Logistics & Operation team: Quadrature Valorized Inventories, OE Quadrature.
  • Various verification of balancing payroll cost and related accruals; adjustment entries and provisions for monthly and annual BS IS and Report.
  • Verification of account balances.
  • Bank reconciliations.
  • Selection and sending to the external fiscal consultant of the documentation useful for the preparation of the monthly Intrastat declaration.
  • Interface with external provider for bookkeeping: sending useful information for accounting invoices receivable and payable; bank and cash records.
  • Various fulfillments: CONAI, ISTAT questionnaires, company pec management, and various others.
  • Collaboration with Country Manager and external Fiscal Firm about the management of accounting issues and relative fulfillments.
Qualifications

Accountant with Fluent English, Strong organizational and time management skills. Attention to detail and reliability in following procedures. Good interpersonal and communication abilities. Advanced level in office tools (Excel, Word, Outlook) and willingness to learn company-specific systems. Accountant diploma or University Degree in Echonomics.
