We are seeking a highly organized, proactive, and detail-oriented Junior Secretary to join our growing organization AI4I – The Italian Research Institute for Artificial Intelligence for Industry.

THE ROLE

We are looking for a motivated professional to provide comprehensive administrative and organizational support to the Secretariat and management team. This role will contribute to the smooth coordination of daily activities, effective communication within the Institute, and the efficient execution of internal and external engagements. The ideal candidate will demonstrate exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a dynamic and intellectually stimulating environment.

KEY RESPONSIBILITIES
  • Provide administrative and organizational support to the Secretariat and management team.
  • Manage calendars, schedule meetings, and coordinate appointments efficiently.
  • Prepare and proofread correspondence, reports, and internal documentation.
  • Assist in event logistics and meeting organization (in-person and online).
  • Monitor deadlines and ensure timely completion of assigned tasks.
  • Maintain accurate records, contact lists, and filing systems.
  • Support communication activities (experience with Mail Up or similar platforms is a plus).
  • Handle confidential information with discretion.
REQUIREMENTS
  • University degree.
  • Strong attention to detail and excellent organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong communication and interpersonal skills.
