The Workplace Operations Manager ensures smooth day-to-day functioning of office operations, facilities, employee services, and vendor management. The role focuses on creating an efficient, safe, and engaging work environment while supporting business continuity.
Key Responsibilities
- Oversee daily workplace operations, facilities management, housekeeping, and maintenance activities.
- Manage key vendor relationships, service contracts, and ensure adherence to Service Level Agreements (SLAs).
- Coordinate office repairs, asset management, inventory tracking, and procurement processes.
- Lead space planning, seating allocation, office moves, and layout optimization projects.
- Ensure workplace safety, compliance with statutory norms, and security protocols (including access systems, CCTV).
- Support employee experience initiatives such as onboarding setup, desk allocation, ID card management, and event coordination.
- Monitor operational budgets, track expenses, and identify opportunities for operational cost optimization.
- Promptly address workplace issues and maintain a high standard of service quality for all employees and stakeholders.
- Implement and enforce workplace policies, processes, and operational standard frameworks.
- Collaborate effectively with cross-functional teams (HR, IT, Admin, Finance) to ensure smooth and integrated operations.
- Manage office technology coordination related to physical infrastructure (printers, meeting rooms).
- Ensure the facility is ready for internal/external audits and compliance checks.
- Lead emergency response preparedness planning and facility risk assessments.
Required Qualifications
- 4–7 years of proven experience in managing end-to-end workplace and facilities operations.
- Strong competency in vendor and stakeholder management, ensuring quality service delivery and contract adherence.
- Excellent communication and problem-solving skills to address workplace issues promptly and maintain high service quality.
- Demonstrated knowledge of compliance, health & safety standards, and statutory norms within a corporate environment.
- Ability to multitask effectively and manage crisis situations with composure and efficiency.
- Good understanding of facilities technology systems and Operational Management System (OMS) tools.
- A detail-oriented mindset with strong organizational skills for managing assets, inventory, and documentation.
- Proven ability to monitor budgets and drive operational cost optimization.
