Job summary

Balajee Arun Educational Society is seeking a Transport Leasing Executive to manage leasing, coordination, documentation, and operational requirements for school transport vehicles.

The role involves coordinating with vehicle owners/vendors, ensuring timely vehicle availability, maintaining records, and supporting safe and cost-effective transportation operations. You will oversee lease agreements, compliance, budgeting, and vendor performance to ensure smooth school transport services.

Responsibilities

• Identify and coordinate with vehicle owners and transport vendors for leasing requirements.
• Negotiate lease terms, rates, and service conditions with vendors.
• Prepare and maintain vehicle lease agreements and related documentation.
• Ensure all leased vehicles have valid RC, insurance, fitness certificates, permits, pollution certificates, and other statutory documents.
• Monitor vehicle availability, deployment, and replacement requirements.
• Coordinate with drivers, vendors, and the school transport team for smooth operations.
• Maintain records of leased vehicles, contracts, payments, and renewal dates.
• Track lease expiry dates and initiate timely renewals or replacements.
• Verify vehicle condition and ensure vehicles meet the organization's safety standards.
• Coordinate vehicle inspections and maintenance schedules.
• Monitor vendor performance and address operational issues promptly.
• Support transport budgeting and control leasing-related expenses.
• Verify vendor invoices and coordinate with the Accounts Department for payment processing.
• Maintain daily/monthly transport reports and MIS.
• Ensure compliance with school transport policies and applicable government regulations.
• Handle emergencies and vehicle replacement arrangements when required.
