Role Overview
- We are looking for a highly organized and execution-focused Technical Project Manager / Scrum Master to support the delivery of Workday integrations, technology, data, and business initiatives.
- This is a stakeholder-heavy project management role requiring coordination across global teams, business stakeholders, technology teams, platform owners, and multiple vendors.
- The ideal candidate should be strong in project planning, execution, dependency management, risk management, change/release coordination, governance, and stakeholder communication.
- The candidate must be comfortable managing multiple concurrent workstreams, maintaining detailed project plans and trackers, following up on commitments, and proactively identifying risks and blockers.
- Strong communication and stakeholder management skills are critical, particularly when working across different geographies, time zones, functions, vendors, and technical teams.
- Candidates with experience in Workday, HR technology, enterprise integrations, data initiatives, platform implementations, or regulated environments will be preferred.
- The role requires a hands-on delivery mindset. Candidates should be able to independently drive coordination and follow-through rather than functioning only as an administrative PMO resource.
Team Mission
- Ensure Workday integration and related technology initiatives are planned, coordinated, tracked, and delivered effectively.
- Create clear visibility into project timelines, milestones, dependencies, risks, issues, decisions, and next steps.
- Coordinate global stakeholders, technology teams, vendors, and platform owners towards common delivery outcomes.
- Establish disciplined project governance and ensure required approvals, documentation, testing, and deployment activities are completed.
- Support successful change implementation, go-live readiness, and post-production stabilization.
What You Will Do
Project Planning & Execution
- Support project initiation, including scope, timelines, milestones, dependencies, resource requirements, and delivery approach.
- Develop and maintain detailed project plans, schedules, trackers, and delivery roadmaps.
- Coordinate activities across business, technology, integration, platform, and vendor teams.
- Track progress against milestones and proactively identify schedule risks and delivery slippage.
- Follow up on action items, decisions, and commitments to ensure timely completion.
- Facilitate project meetings, working sessions, governance meetings, and stakeholder reviews.
- Maintain accurate and current project documentation.
- Coordinate multiple workstreams simultaneously and ensure alignment across dependent activities.
Change & Release Coordination
- Coordinate change implementation activities across impacted systems, technical teams, business stakeholders, and vendors.
- Prepare and distribute stakeholder communications for planned changes and releases.
- Track stakeholder responses, confirmations, readiness activities, and dependencies.
- Coordinate development activities associated with approved change requests.
- Track system testing, integration testing, and UAT progress and identify readiness gaps.
- Support deployment planning, cutover activities, go-live readiness, and production implementation.
- Coordinate hypercare activities following go-live and provide regular status updates.
- Communicate impacts of changes such as Job Architecture Refresh to downstream systems, integrations, and vendors.
- Track integration and development timelines and ensure required stakeholders remain aligned.
- Proactively elevate risks that could affect release or deployment timelines.
Project Tracking & Reporting
- Maintain accurate project schedules, RAID logs, action trackers, decision logs, and status reports.
- Monitor project health across scope, schedule, dependencies, risks, issues, and deliverables.
- Identify blockers and potential delivery risks early and drive appropriate resolution.
- Escalate issues requiring management intervention with clear context and recommended actions.
- Prepare weekly and monthly project status reports for stakeholders and leadership.
- Develop and maintain dashboards and project metrics to support decision-making.
- Ensure reporting accurately reflects the current state of delivery.
- Provide clear visibility into progress, upcoming milestones, overdue actions, risks, dependencies, and decisions required.
Project Support & Governance
- Maintain visibility of project backlogs, work intake, delivery commitments, and priorities.
- Support backlog review and prioritization discussions led by programme and business leaders.
- Track delivery commitments and provide regular progress reporting.
- Coordinate escalation tracking and resolution activities.
- Maintain consistency of project data across Jira, Jira Align, Planview, ServiceNow, and Smartsheet.
- Support change-control and project governance processes.
- Track required approvals, documentation, evidence, and governance checkpoints.
- Ensure project information is accurate and synchronized across relevant enterprise tools.
- Escalate overdue actions, unresolved risks, pending decisions, and governance gaps.
Documentation & Approval Management
- Manage project and controlled-document workflows through completion.
- Upload and maintain project documentation within enterprise document-management platforms.
- Route documents to appropriate reviewers and approvers.
- Monitor review and approval progress and proactively follow up on outstanding actions.
- Escalate approval delays that could affect project timelines.
- Maintain appropriate approval records and ensure they are linked to project or change closure activities.
- Support activities such as Veeva document uploads, review coordination, approval tracking, and closure documentation.
Stakeholder & Vendor Management
- Act as a central coordination point across global business stakeholders, technology teams, platform owners, vendors, and programme leadership.
- Manage communication across stakeholders located in different geographies and time zones.
- Ensure stakeholders understand deliverables, timelines, dependencies, decisions, risks, and required actions.
- Drive follow-ups and accountability across internal teams and external vendors.
- Handle conflicting priorities and competing stakeholder requirements with appropriate escalation and communication.
- Build effective working relationships with technical and non-technical stakeholders.
- Ensure vendor commitments are tracked and delivery issues are escalated promptly.
- Facilitate discussions and drive decisions when multiple teams or vendors are dependent on one another.
Required Qualifications
- 6–9 years of experience in Project Management, Technical Project Management, PMO, Delivery Management, or Technical Project Coordination.
- Demonstrated experience managing technology, data, analytics, platform, integration, or system implementation projects.
- Strong project planning, organization, execution, and follow-through skills.
- Proven ability to manage multiple concurrent workstreams and priorities.
- Strong stakeholder management experience involving global teams, technical teams, business stakeholders, and vendors.
- Experience working across multiple geographies and time zones.
- Strong experience managing project schedules, milestones, risks, issues, dependencies, action items, and decisions.
- Experience coordinating testing, release, deployment, go-live, and hypercare activities.
- Working knowledge of both Agile and traditional project delivery methodologies.
- Strong understanding of project governance and change-control processes.

- Experience with Workday or Workday integration projects.
- Experience supporting HR technology, enterprise platforms, data initiatives, or system integrations.

- Experience in a regulated environment, particularly pharmaceutical, healthcare, or life sciences.
- Familiarity with Veeva or similar controlled-document management platforms.
- Experience with change management and release management.
- Exposure to Agile, Scrum, SAFe, or hybrid delivery methodologies.
- Scrum Master certification such as CSM or PSM.
- PMP, PRINCE2, PMI-ACP, or SAFe certification.
