Job summary

Anglo-Eastern is seeking an Operations Support professional to assist in managing ship operations costs and procurement for stores and spares. Responsibilities include processing purchase requests, supplier quotations, and purchase orders, while maintaining inventory and documentation across vessels.

The role involves coordinating routine repairs, vessel surveys, and timely communications with ships and superintendents to ensure cost-effective and compliant operations.

Responsibilities

• Stores: clarify store purchase requests from ships, obtain quotations, place purchase orders, maintain inventory files
• Spares: clarify spares requests from ships, obtain quotations, place purchase orders, maintain inventory files
• Delivery: ensure spares/stores delivered to ships, track status, minimize delays and consolidate shipments to save costs
• Surveys: monitor vessel surveys and arrange class/statutory surveys in consultation with Superintendent
• Repairs: arrange routine repairs or service engineer requests and record repair costs
• Communication: handle letters/telexes/faxes with vessels and concerned parties regarding spares/stores/repairs/surveys/registration
• Document Control: maintain periodic reporting timelines, query vessels for overdue reports
• Ship: dispatch and follow up documents related to vessel requirements
• Office: maintain indents/quotation/invoices files per policy
• Technical Operating Costs: assist in cost analysis, invoices review, data entry, overdue invoice follow-up
• Manuals/Drawings/Instruction books: keep up-to-date records for quick retrieval
• Cost Data: maintain central data for major stores, equipment, repair and dry-dock costs
• Lub Oil Tracking: track vessel lubricating oil sample landing and analysis reports to Superintendent

Job description

Assist in providing operation management services to ships under charge to ensure they run in a safe manner as required, and the running costs for all the vessels are within the budget allocated by the ship owners.

Roles and Responsibilities

• Stores - Clarify the store purchase requests from the ships, get quotation, place purchase order for the stores and maintain all inventory files
• Spares parRequirements
• ts- Clarify the spares parts purchase requests from the ships, get quotation, place purchase order for the spares parts and maintain all inventory files
• Delivery of Spares/Stores to Ships Record status of the delivery and follow up with each requisition till delivery. Pay special attention to delay and potential delivery consolidation to save cost
• Surveys Monitor the dates of the survey and arrange the class/statutory survey in consultation with Superintendent
• Repairs Arrange routine repairs / requisition for service engineer / technician as per vessel requests and pass major repair requisitions for Superintendent's approval. Keep record of all accrued repair costs
• Routine communication Handle letters / telexes/ faxes to and from vessels and other concerned parties regarding spares/ stores/ repairs/ surveys/ registration
• Document Control Maintain check list of periodic reporting due from vessel. Verify from ship file for overdue report - query vessels for abnormal delays
• Ship: Dispatch and follow up documents relating to vessel's specific requirement.
• Office: Maintain files for indents/quotation/invoices as per department policy
• Technical Operating Costs Participate in tasks related to technical operating cost, including invoices review, classification, system input, recording keeping and overdue invoices follow-up
• Manuals / Drawings / Instruction books - Maintain up-to-date record and files for quick retrieval and reference.
• Maintain central cost data for major stores, equipment, machinery, repair and dry-dock cost.
• Tracking of Lub oil sample Analysis - Track that Lub oil samples are landed by the vessel as per schedule. Follow up the analysis report and send the report to the vessel. Keep the Superintendent informed if any of these conditions are not met
