We are looking for a detail-oriented and process-driven System Administrator / Document Processing Specialist to support our document processing operations.
The role involves reviewing business documents such as purchase orders, invoices, and related documents that require human validation after being processed through an OCR and AI-based system. You will be responsible for resolving data exceptions, maintaining document templates, ensuring data accuracy, and identifying recurring issues that may impact the overall quality of the platform.
This role requires strong attention to detail, numerical accuracy, process discipline, and the ability to work independently.
Review documents flagged by the system and verify extracted information against source PDFs.
Correct errors in PO numbers, quantities, dates, product codes, and other key fields.
Resolve product mapping issues by identifying the correct catalogue entries.
Review, correct, reprocess, publish, or elevate exceptions within the required turnaround time.
Support onboarding of new customers by setting up identification patterns such as email domains and vendor codes.
Create and maintain document templates to map information from customer PDFs to structured data fields.
Monitor template accuracy and make necessary updates when extraction quality decreases.
Monitor document queues and resolution timelines.
Identify recurring exceptions and document patterns for the engineering team.
Identify product catalogue gaps and maintain relevant external reference codes.
Perform basic smoke testing after platform updates to ensure document processing flows are working correctly.
Strong ability to read and understand business documents such as purchase orders, invoices, and packing slips.
Excellent attention to detail and numerical accuracy.
Understanding of ERP concepts such as customers, products/SKUs, purchase orders, and invoices.
Familiarity with ERP systems such as Odoo, SAP, NetSuite, or similar platforms.
Ability to follow defined processes and workflows consistently.
Good written communication skills for escalations and issue documentation.
Ability to work independently, manage priorities, and proactively identify issues.
Experience in the paper or packaging industry.
Familiarity with OCR or document processing concepts.
Understanding of confidence scores, bounding boxes, and extraction workflows.
Hands-on experience with Odoo.
Exposure to different business document formats and industry-specific terminology.
The role primarily involves working through the Grove web application , along with Odoo 18 ERP and PDF documents in various customer formats.
No coding, infrastructure management, or direct database access is required for this role.
Workload: Approximately 200 documents per week requiring human review, depending on business volume.
Time Zone: Some overlap with US Eastern business hours may be required.
Onboarding: Two-week onboarding covering the Grove platform, ZED pipeline, and standard operating procedures.
Hands-on experience with AI and OCR-based document processing.
Exposure to ERP workflows and structured business data.
Understanding of document validation and data-quality processes.
Experience working with automated data extraction and exception-management workflows.
Practical exposure to customer‑specific document templates and process optimization.
Interview Process:
Screening Round: Once you apply, you will get an email and within 4–5 days you will hear from our recruitment team asking you some basic questions.
First Interview: Post that, an interview will be scheduled with a Programme Manager within the next 3–4 days.
Second Interview: If the first interview is cleared then, a second interview will be conducted with the senior leader within 1–2 days.
