Instem is seeking a Project Manager in Pune with hybrid work arrangements (office twice a week). You will lead projects across scopes, budgets, and timelines, coordinating cross-functional teams to deliver on time and within budget.

The role emphasizes collaboration, quality processes, and the use of AI tools to enhance planning and decision making. The ideal candidate has PM experience, familiarity with SDLC in pharma/healthcare, and a proactive, self-driven attitude.

Qualifications

• Experience in a Project Manager role, preferably in pharmaceutical, technical, or SaaS PM.
• Strong understanding of formal project management methodologies.
• Ability to manage multiple projects simultaneously in a fast-paced environment.
• Some familiarity with SDLC in pharma/healthcare, including 21 CFR Part 11 and CSV is a plus.
• Creative self-starter and life-long learner open to new ideas and able to work with minimal supervision.

Responsibilities

• Determine project scope, budgets and timelines with cross-functional input; track and communicate changes to stakeholders.
• Identify, assess and manage project risks; develop mitigation strategies.
• Create and maintain comprehensive project plans for customers.
• Ensure conformance to quality procedures and monthly close processes; produce relevant documentation.
• Organize and facilitate internal and external project meetings with agendas and actions.
• Promote process improvements to increase efficiency and project delivery.
• Provide project updates to management and customers.
• Review project hours monthly for time reporting and budgets.
• Maintain clear stakeholder communication and elevate issues to management.
• Enter weekly timesheets to support revenue recognition.
• Demonstrate use of AI tools to improve planning, forecasting and risk management.

Why are we hiring a Project Manager? We are hiring this position due to retirement within the team. The Project Manager is a highly valued role where collaboration and a superior team player mindset is non-negotiable. As a Project Manager (PM) your mission is to be the primary liaison for our customers and to provide leadership on projects to ensure success throughout the project life cycle. The PM will have overall operational responsibilities for leading the projects where the criteria for success includes managing scope, leading teams, tracking and reporting project status, and completing deliverables to execute the projects on time and within budget.

What are you responsible for?

• Determine project scope, budgets and timelines with the input and support from cross-functional team members. Track, identify, and resolve scope changes as well as communicate changes to the internal and external stakeholders.


• Identify, assess and manage project risks, developing mitigation strategies to minimize impact.


• Creation and maintenance of comprehensive project plans to be shared with the customers.


• Responsibility for conformance to quality procedures and end of month procedures, within the projects including the production of relevant documentation.


• Organize and facilitate internal and external project meetings, including agendas and action items. Influence requisite follow-up and actions necessary as determined in meetings to include incorporating lessons learned into future planning.


• Pro-active in identifying and promoting the implementation of process improvements to increase efficiency and effectiveness when running projects


• Provide project updates to internal management and customers.


• Review project hours monthly to ensure accurate time reporting and adherence to budgets.


• Communication and reporting - maintain clear communication with stakeholders. Report and elevate to management as needed.


• Produce top-notch written communications.


• Entering weekly timesheets that enable and ensure the accuracy of the revenue recognition function.


• Experience using AI tools to support project planning, forecasting, risk management, status reporting, or resource optimization. Candidates should demonstrate how AI has been used to improve project execution or decision making.


• Adherence to the Company’s Quality Management System to ensure that all work is handled Securely, Professionally and Diligently.

Skills, Knowledge & Experience:

• Experience within a Project Manager position, with a preference for Pharmaceutical, technical, or SaaS project management experience


• PMP/PRINCE2 desirable


• Strong understanding of formal project management methodologies

• Some familiarity of SDLC within the pharmaceutical or healthcare industries, including familiarity with 21CFRPart11 and Computer System Validation is a plus.
