About The Role
- Service Planner is an important anchor person in the branch who is accountable for planning, scheduling, assigning, and managing technicians' time to maximize profitability and productivity. The person will report to the AOM/OM, Assistant Branch Manager, or Branch Manager. The incumbent will work as part of a multi‑functional team and will collaborate with the internal team and external stakeholders.
Job Responsibilities
- Know and develop proficiency in handling internal company software platforms, iCABS, SCP and any other systems that may be introduced.
- Have good knowledge of the branch territory.
- Ensure that the Service Companion usage is maximised for all service deliveries and should always be above 95 %.
- Organise schedule and planning of all service (contracts, jobbing, call‑outs, etc.) on a daily, weekly, and monthly basis for all technicians within the branch.
- Ensure all Service Companion devices are active and in use, maintaining 100 % active devices at any given time.
- Plan priority-wise all due for renewal visits, enquiries, call‑outs, and complaints; keep pending visits negligible.
- Liaise with Sales and Service teams to accommodate urgent service visit appointments and communicate changes to affected customers promptly.
- Attend to customer‑service related complaints or termination notices/STOP Services efficiently and promptly.
- Manage service documentation and ensure all customer/technician feedback is followed up with actions.
- Enter correct consumption data and TOS in SCP to reflect accurate profitability in the command centre.
- Update all service data from dockets, log cards, service orders and other sources accurately into business systems promptly.
- Coordinate with the IT team for new users, device issues, etc.
- Support transition from paper‑based to digital‑based planning and visit documents, upholding documentation integrity.
- Follow the call‑out process to ensure complaints are delivered only after raising the ticket.
- Review service reports with OM, OE, and BM and highlight critical backlog and weekly trends to managers.
- Provide daily service compliance updates.
- Assist AOM/OM/Assistant Branch Manager/Branch Manager in monitoring technician service productivity and efficiency KPIs.
- Maintain positive working relationships and effective communication with Sales & Service colleagues, supervisors, technicians, and operations staff for any service‑related issues.
- Coordinate with Sales for available slots, time adjustments for new sales scheduling.
- Work with branch management to correct service areas based on annual revenue, time on site, travel time, and routine requirements.
- Utilise route technicians for jobbing only after routine services are delivered.
- Be knowledgeable about company safety policies and SRA requirements on the job, able to read and understand company policies.
- Elevate unresolved issues promptly to the next level of management.
- Perform any other similar duties as specified by the manager.
Reporting
- Daily, weekly and monthly State of Service for Branch; Residential GSS State of Service is a priority.
- Weekly reporting of pending jobs and ageing profiles to ABM/BM.
- Monthly reporting of technician‑wise trends.
- Maintain State of Service and productivity data per technician.
- Maintain visibility on complaints received and report all call‑outs/critical incidents to the branch.
- Annual leave planning for technicians.
- Ensure each technician’s productivity meets set targets.
Requirements
- Graduate freshers with good English communication can apply.
- Graduation with 1 year of relevant experience preferred.
- Basic computer skills for reporting/work management—advanced computer skills are an advantage.
- Communication: speaking on the phone to external customers and internally with technicians and other operations colleagues.
- Knowledge of the territory handled for planning.
- Occasional travel within the division required.
- Liaise with Operations Manager, Operations Executive, Service Supervisors to establish service requirements and provide information, assurance and advice as required.
- Communicate all service issues timely to the ABM/BM and Operations Manager.
