You will be the cornerstone of our day-to-day workplace experience and the lead architect behind our internal and external events. You will deliver high-touch service to colleagues and clients alike, managing complex logistics, building trusted vendor partnerships, and upholding the firm’s gold standards across facilities, hospitality, corporate travel, and general administration. You will take complete ownership of our physical environment, ensuring that our spaces are always clean, functional, welcoming, and primed for productivity. Your daily focus will encompass managing space readiness, monitoring office supplies, pantry provisions, and branded collateral, while serving as the face of hospitality for our visitors. You will also streamline room and desk reservations, coordinate mail services, resolve helpdesk inquiries, and collaborate directly with property management and maintenance teams to ensure a pristine office environment. You will bring people together by designing and executing a rich calendar of internal and external gatherings, ranging from vibrant cultural festivals, retreats, and town halls to intimate leadership dinners, professional trainings, client roundtables, alumni summits, and recruiting drives. You will orchestrate every moving piece from concept to completion, which includes crafting detailed run-of-show timelines, arranging floor plans, curating tailored catering menus that accommodate all dietary needs, overseeing RSVPs, managing hospitality staffing, and steering on-site audiovisual and technology setups. Your responsibility extends to curating seamless journeys for our traveling professionals across air travel, ground transit, and accommodations. You will manage daily operations and booking processes, negotiate competitive rates with preferred hotel partners, and hold ground transit providers accountable to rigorous safety and utilization standards. To ensure financial efficiency, you will strengthen our travel management information systems, conduct regular spend and compliance reviews, and perform cost reconciliations. As the key commercial and operational bridge between our organization and external suppliers, you will identify, evaluate, negotiate with, onboard, and supervise trusted partners across catering, floral design, audiovisual production, maintenance, and logistics. Working in close partnership with procurement and finance teams, you will monitor ongoing service levels, assess deliverable quality, verify invoices, and complete reconciliations in full compliance with corporate guidelines. You will practice rigorous financial stewardship over events and office operational budgets, monitoring actual spending against approved financial plans to uncover efficiencies and cost-saving measures without compromising premium service quality. Your ongoing financial responsibilities will include reconciling corporate card transactions, processing vendor billings, managing departmental cost allocations, and preparing accurate monthly financial reports. To safeguard our colleagues, guests, and physical assets, you will embed firm protocols into daily routines, including occupational health and safety standards, physical security, fire safety measures, data confidentiality, and statutory regulatory compliance. You will also formulate and execute robust risk mitigation and contingency plans, ensuring that our team is fully prepared to respond swiftly and safely to emergencies during large gatherings. You will also drive continuous operational excellence by defining and implementing structured standard operating procedures, service level agreements, and key performance indicators for internal support teams and external vendors. Through recurring, data-backed scorecard reviews, you will evaluate partner performance, maintain high delivery compliance, and continually elevate the service benchmarks of our workplace operations.
