Job summary

HCLFoundation is seeking a finance professional to support financial monitoring and reporting, working with Manager – Finance to ensure compliance with policy, standards and statutory requirements.

Key responsibilities include budgeting, vendor payments, data analysis, financial dashboard maintenance, and capacity building for NGO finance teams, with focus on accuracy and timely reporting.

Qualifications

  • 5-7 years of NGO management and vendor payments experience.
  • Fluent in English and strong communication skills.

Responsibilities

  • Support program teams in preparing MOUs, vendor contracts, and purchase orders aligned with budgets and grant requirements.
  • Provide data collation and analysis of program financial information and project progress reports.
  • Maintain and update the financial dashboard with reports, fund transfers, expenditures, and disbursement timelines.
  • Assist in development of new project budgets and advise on budget templates and guidelines.
  • Coordinate vendor quotations and issue purchase orders promptly.

Job description

The incumbent will work with Manager – Finance and support the financial monitoring and reporting process of the organization in accordance with HCLFoundation’s policy, standards & statutory requirements.


Specific Responsibilities and Tasks include:

Financial Planning and Management


  • Support program teams in preparing partner MOUs, vendor contracts, and purchase orders while ensuring alignment with project budgets, appropriate terms and conditions and ensuring compliance with grant requirements as well as applicable laws and regulations in accordance with HCLFoundation guidelines.

  • Provide support to concerned teams for collation of data and analysis of program related financial information and Project Progress Reports.

  • Maintaining and updating the financial dashboard with details and status of reports and fund transfer including expenditure/ disbursement, undisbursed balance and timelines for disbursement

  • Support the program teams in the development of new project proposal budgets and provide quality technical advice on budget templates and guidelines.

  • Support teams with vendor quotations and comparatives as per requirement and coordinate with concerned teams to ensure timely issue of purchase orders


Financial Monitoring and Reporting


  • Ensure submission of accurate, complete and timely financial reports by the program teams as per the prescribed formats, templates and deadlines

  • Ensure compliance of project financial reporting in line with prescribed guidelines

  • Review of quarterly reports provided by NGO partners

  • Monitor project budgets vs. actual expenditure; ensure that expenditure recorded is in line with budgeted line items and advice on budget performance and, if applicable, suggest budget revisions

  • Conduct monitoring visits of partner NGOs & ensure statutory compliance of Indian Government as well as policies of HCLFoundation are followed

  • Review documents, budgets, line items and costs to ensure accuracy, completeness, and compliance of the proposal submitted by NGOs and vendors

  • Provide capacity building, training, orientation and onsite mentorship on financial management, data management, guiding policies & procedures to NGO finance teams


Ensuring Compliance and Control of Accounts


  • Examine and monitor the financial transactions (transfer, expenditure, re-allocations, adjustments) of NGO partners

  • Reviewing supporting documents to ensure the expenditure is broadly reasonable and in accordance with policy

  • Review of expenditure charged to the programs and investigating and resolving discrepancies, if any

  • Support the internal and external audit processes for all programs and partners

  • Ensure compliance with organizational guidelines, values, standards of accountability and integrity

  • Ensure effective, accurate and timely book-keeping and regularly update entries in financial software

  • Ensure all payments (vendors, staff’s salary, travel claim etc) are processed in accordance with the organization policy & statutory requirements


Attributes and experience:


  • 5-7 years of working experience in NGOs management & vendor payments

  • Good communication skills; Should be fluent in English.

  • Ability to learn and work independently.

  • Must also have the ability to work well under pressure and deliver within required deadlines, often in a fast- paced work environment.

  • Basic organizational and administrative skills.

  • Ability to multitask and work under pressure.


Qualifications and Skills:


  • B.com with CA (inter)/ICWA (Inter) or M. Com/MBA(Finance) or any other relevant degree.

  • Good knowledge of Microsoft Office applications (Word, Excel, ppt etc).
