Job summary

Divine Mercy University in Sterling, VA seeks a Residency Host to oversee logistics for Spiritual Direction residencies. The role is seasonal and part-time, coordinating venue setup, catering, rosters, materials, and on-site support.

Responsibilities

  • Coordinate with the director to secure spaces, seating, catering and room setup.
  • Prepare binders, name tags and student/faculty materials for residencies
  • Set up welcome tables, informational displays and materials for attendees
  • Greet caterers, manage meals and ensure hot drinks and snacks are available
  • Print daily rotation schedules and provide them to residency leads by 8 AM
  • Create and print lists for student lectors and coordinate Mass readings
  • Collect and file final student assessments and organize folders for faculty
  • Post-residency tasks: inventory, store supplies, and secure items for next residency

Description

The School of Spiritual Direction residency host is a seasonal par-time role responsible for all the logistics during the Spiritual Direction Certificate residencies. They also work in conjunction with the School of Spiritual Direction team to prepare for them. They report to the Director of the School of Spiritual Direction. Pay: $500.00 each residency, plus lodging, meal stipend and travel reimbursement.

Requirements
  • Be in communication with the director before the residencies to ensure that the following are foreseen and in place:
  • Chaplain support for the residency (masses and confessions)
  • Reservation of spaces at DMU and room set up
  • Catering orders and delivery planning
  • Be in communication with one of the leaders of each residency to ensure that the following is in order before the residencies:
  • Student roster
  • Student evaluations sheets
  • Prepare binders and name tags for students and faculty
  • Arrive to DMU in time to prepare the following before the Meet & Greet on Wednesdays of residencies:
  • Prepare gift bags (SDC300 only) and deliver to the hotel front desk
  • Take inventory of residency materials (gifts, binders, t-shirts, etc.) and update the inventory spreadsheet. Work with the Director to ensure supplies are available for the next residency
  • Set up and man welcome table in the DMU lobby
  • Main classroom set up with informational table in the back and material for attendees
  • Travel mass prepared
  • Dinner set up and ready
  • During the residency be responsible for the following:
  • Having coffee and snacks set up when the students arrive in the morning and refreshed throughout the day
  • Print the daily rotation schedule & provide to residency lead by 8 AM
  • Greet the caterer and set up the meals so they are ready for attendees when they arrive
  • Make sure all student evaluation forms are prepared in one digital folder that is shared with the faculty
  • Create and print a list for students to sign up as lectors at Masses and follow up to ensure there are lectors at each Mass.
  • Make sure that the Prayers of the Faithful are on the altar and ambon for Mass on Sunday.
  • Be available for any logistical questions or needs that the residency faculty may have.
  • Print final student assessments and have them in folders for residency faculty by 8 AM on Sunday
  • Take a group photo on Sunday morning.
  • After the residency
  • Collect name tags and access badges (fobs)
  • Ensure all attendees are out of the building by 2pm.
  • Ensure the fridge is free of all food left over from the residency.
  • Put all unperishable food items back into the residency closet.
  • Ensure all items from the residency are also stored.
