Job summary

WSP India is seeking a Proposal Coordinator to support Technical Leads in delivering bids for water sector projects. Based in India, you will coordinate inputs, manage documents, and ensure tender compliance.

You will format and edit proposals, maintain trackers, and liaise between Water Team and Proposal groups to meet deadlines. The role requires 4–6 years of experience, a civil engineering background, and MS Office/proposal tools.

Qualifications

• Bachelor’s degree in Civil Engineering or related field required.
• 4–6 years of proposal coordination or bid support experience preferred.

The Proposal Coordinator provides essential support to Technical Leads in developing and delivering high-quality bids for water projects in the Middle East. Based in India’s GCC, the role ensures smooth coordination, document management, and compliance across the proposal lifecycle.

Responsibilities

• Proposal Support
  • Assist Technical leads / Project Managers in preparing bids and tenders for Water projects.
  • Coordinate inputs from technical teams, business development, and support functions.
  • Format, edit, and compile proposal documents to meet client requirements.
  • Track all opportunities and bids on various portals
  • Track various proposals and maintain a tracker to monitor progress and deadlines
• Document & Content Management
  • Maintain and update proposal templates, CVs, project sheets, and case studies.
  • Ensure consistency in branding, style, and compliance with WSP standards.
  • Track proposal versions, deadlines, and submission requirements.
• Collaboration & Communication
  • Act as a liaison between the Water Team and the Proposal teams.
  • Support scheduling of reviews, meetings, and approvals with the Head of Water / Technical Directors
  • Communicate effectively with cross-functional stakeholders to gather inputs.
• Quality Assurance
  • Conduct basic compliance checks against tender instructions.
  • Proofread documents for accuracy, grammar, and clarity.
  • Support final packaging and submission of proposals.

Skills & Competencies

• Strong organisational and coordination skills.
• Excellent written and verbal communication abilities.
• Proficiency in MS Office Suite (Word, PowerPoint, Excel) and Adobe Acrobat.
• Familiarity with proposal management tools (e.g., SharePoint, InDesign is a plus).
• Ability to work under tight deadlines and manage multiple tasks simultaneously.
• Knowledge of transport and infrastructure sectors preferred.

Typical Requirements

• Bachelor’s degree in Civil Engineering or related field
• 4–6 years in proposal coordination or bid support.
