Job description

Pre/ Post Delivery Owner

Ready to put your attention to detail to work, ensuring accurate orders, seamless deliveries and timely invoicing?

Want to combine your operations experience and analytical skills with AI tools to streamline workflows and drive process improvements?

About Our Team

The Corporate Markets - Pharma group is the leading provider of content-based marketing services to the pharmaceutical, medical device, and biotech industries. We build on Elsevier’s strong content position and relationships with healthcare professionals to help our clients reach their desired audience with best-in-class clinical content that only Elsevier can deliver. We are leaders in what we do.

About The Role

In the pre-delivery stage, the Pre/Post-Delivery Owner ensures order information is "right first time" and completes order checks before delivery. Working regionally with sales representatives, they make sure orders follow agreed guidelines and that no "Rules of the road" products are approved until compliant. In the post-delivery stage, they confirm the customer contract is fulfilled before invoicing, working closely with the billing and invoice team to complete proof-of-delivery checks for every order and give the go-ahead to invoice.

Responsibilities

  • Works in close collaboration with other pre/post-delivery owners to manage the volume of transactions; has a good overview of Global Pharma products, understands what "delivery" entails for those products, and checks journal shipment and product delivery.

  • Ensures proof of delivery exists and the Billing team sends it to the customer with every invoice.

  • Ensures billing details for client invoicing are set and proactively chases up any missing information.

  • Stays organized and reviews product delivery order reports for SOX compliance, ensuring orders are approved for billing and that SOX checks are done and appropriately documented in line with relevant processes.

  • Tracks orders that are missing information and/or incomplete (e.g. missing insertion orders, generic email IDs) as well as orders that failed proof-of-delivery checks.

  • Works with other team members and Delivery Owners to review root causes of recurrent issues, continuously helps improve metrics and ensures orders are keyed right first time.

  • Keeps the Product Delivery Lead up to date on billing orders, ensures adherence to an agreed time frame when orders are delivered, and liaises very closely with the billing team to resolve any post-billing queries.

  • Remains calm and accurate and adheres to processes, particularly when managing high volumes of transactions over month-end and year-end.

Requirement

  • Bachelor's degree or equivalent work experience, with 2 years' experience in a professional capacity, preferably in Operations or Process Management.

  • Proficiency with the Microsoft Office suite (Word, Excel & PowerPoint).

  • Strong organizational, verbal and analytical skills, with strong attention to detail.

  • Ability to multitask within a fast-paced environment.

  • Strong communication, follow-through and interpersonal skills, and a team player.

  • Actively adopts approved AI tools and identifies AI and automation opportunities to improve efficiency, accuracy, quality and predictability, simplify repetitive/manual tasks, streamline workflows and reduce turnaround time.

  • Experiments with AI-enabled ways of working, shares use cases, prompts, best practices and learnings to build team capability, and leverages AI within the wider Elsevier ecosystem by integrating with existing tools, dashboards and processes while avoiding unnecessary duplication.

  • Ensures responsible and compliant AI usage while tracking and demonstrating tangible benefits such as time saved, reduced manual effort, improved quality and process improvements.
