Position Overview
We are looking for a polished, client-ready Mid-Level PayrollSpecialist & Client Support Associate to join our outsourced payrolloperations team. This role requires both technical payroll processing expertiseacross multiple platforms and the professional communication skills toconfidently represent our team in employee-facing interactions and strategicclient meetings. The ideal candidate is equally comfortable running a fullpayroll cycle and speaking articulately with a business owner alongside an AccountExecutive.
Key Responsibilities
Payroll Processing
- Process accurate and timely payrolls for assignedclient accounts across Prism HCM/HR, ADP Workforce Now (WFN), and Paylocity
- Manage multi-frequency payroll schedules (weekly,biweekly, semi-monthly, monthly) with precision
- Review and audit payroll inputs including timekeepingdata, deductions, garnishments, and special pay items
- Perform pre- and post-payroll audits to ensure accuracyprior to transmission and funding
- Process off-cycle payrolls, corrections, and manualcheck requests as needed
- Maintain organized payroll records and ensuredocumentation is audit-ready at all times
Employee Communication & Support
- Serve as a responsive point of contact for employeepayroll inquiries received via email or phone
- Communicate clearly and professionally in written andverbal English across all correspondence
- Resolve paycheck discrepancies, direct deposit issues,tax withholding questions, and related concerns with accuracy and empathy
- Escalate complex issues appropriately while keepingemployees informed of resolution timelines
Client & Account Executive Support
- Partner with the assigned Account Executive as atechnical resource during client meetings with payroll decision-makers andbusiness owners
- Speak knowledgeably about payroll processes, platformcapabilities, and compliance considerations in a professional, client-facingsetting
- Assist in preparing meeting materials, reports, orpayroll summaries as needed for client discussions
- Help identify client needs or concerns duringinteractions and relay relevant information to the account team
Required Qualifications
- 5 + years of payroll processing experience, withhands-on proficiency in at least two of the following: Prism HCM/HR, ADP Workforce Now, Paylocity
- Exceptional written and verbal English communicationskills: professional, clear, and client-appropriate in all settings
- Demonstrated experience handling employee payrollinquiries via email and/or phone
- Strong organizational skills with the ability to managemultiple client payrolls simultaneously under deadline pressure
- High degree of accuracy and discretion when handlingsensitive employee and compensation data
Preferred Qualifications
- Proficiency across all three platforms: Prism HCM/HR,ADP Workforce Now, and Paylocity
- Experience working in an outsourced payroll or PEO/HROservice environment
- Comfort presenting information or participating inclient-facing meetings alongside senior team members
- FPC (Fundamental Payroll Certification) or CPP(Certified Payroll Professional) designation
- Bilingual abilities are a plus, though fluency inprofessional English is required
