Job summary

Jobgether is seeking a Patient Concierge Associate based in India to provide administrative and operational support for patient travel and reimbursement services within clinical trials. You will coordinate day-to-day activities across internal teams, vendors, and study stakeholders, ensuring requests are handled efficiently and accurately.

Qualifications

  • At least 5 years of experience in an administrative, coordination, project support, or similar operational role.
  • A bachelor's degree is preferred.
  • Previous exposure to healthcare, clinical research, life sciences, or related environments is an advantage.
  • Basic to intermediate proficiency with Microsoft Office applications, particularly Excel, Word, Outlook, and PowerPoint.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities and follow structured processes consistently.
  • Excellent attention to detail and a commitment to maintaining accurate documentation and records.
  • Clear written and verbal communication skills, with the ability to collaborate effectively with colleagues, vendors, and other stakeholders.
  • Ability to work independently while contributing positively within a collaborative team environment.
  • A proactive, dependable, and adaptable approach, with a willingness to learn new processes, systems, and industry practices.

Responsibilities

  • Monitor and manage shared mailboxes, ensuring incoming requests are accurately reviewed and routed to the appropriate team members.
  • Maintain project trackers, documentation, records, and databases using tools such as SharePoint and Microsoft Excel.
  • Support study setup activities, including preparing documentation and tracking onboarding activities and requirements.
  • Coordinate meetings and calendars, prepare agendas, capture notes, and support follow-up activities.
  • Assist with vendor communications, documentation, and activity tracking to help ensure smooth project delivery.
  • Maintain accurate and up-to-date records relating to projects, vendors, studies, and operational activities.
  • Support the preparation of reports, presentations, routine status updates, and other project communications.
  • Assist with financial administration, including invoice processing, financial tracking, and budget documentation.
  • Ensure project documentation and administrative activities follow applicable SOPs, internal procedures, and quality standards.
  • Collaborate effectively with internal teams and study stakeholders to support timely and well-organized project execution.

As a Patient Concierge Associate, you will provide essential administrative and operational support for patient travel and reimbursement services within clinical trials.
