Operaons Manager Facility Management

1. Role Purpose
The Operaons Manager will be responsible for the overall
operaonal management of mulple facility management sites,
ensuring smooth day-to-day operaons, manpower efficiency, service
quality, client sasfacon, statutory compliance, and profitability.
The role requires strong leadership, site supervision, client
management, manpower planning, and the ability to resolve
operaonal issues quickly and effecvely.
2. Key Responsibilies
A. Site Operaons
- Oversee day-to-day operaons across all assigned sites.
- Ensure smooth funconing of Security, Housekeeping, MEP,
- Electrical, Plumbing, Landscaping, Pest Control, Swimming Pool,
- Clubhouse and other facility services.
- Conduct regular site inspecons and ensure compliance with SOPs.
- Idenfy operaonal gaps and implement correcve acons.
- Ensure all services are delivered as per client requirements and
- agreed SLAs.
B. Manpower Management
- Plan and deploy manpower according to site requirements.
- Monitor aendance, absenteeism, weekly offs, shis and
- replacements.
- Ensure adequate manpower is available at every site.
- Coordinate recruitment and onboarding of site-level employees.
- Monitor staff performance and take correcve acon where
- required.
- Ensure uniforms, ID cards, shoes, safety equipment and other
- required accessories are issued and maintained.
C. Client & Resident Management
- Maintain regular communicaon with clients, associaons, facility
- managers and residents.
- Aend client meengs and review operaonal performance.
- Address complaints and ensure mely closure.
- Maintain strong client relaonships and idenfy opportunies for
- service improvement.
- Ensure commitments made to clients are tracked and completed
- within agreed melines.
D. Site Managers & Supervisors
- Lead and monitor Site Managers, Facility Managers and
- Supervisors.
- Conduct regular review meengs with the site team.
- Set daily, weekly and monthly operaonal targets.
- Review site reports and take necessary correcve acons.
- Ensure proper escalaon of crical issues to management.
E. Quality & SOP Compliance
- Develop and implement SOPs for all facility services.
- Conduct regular audits and inspecons.
- Ensure housekeeping standards, security protocols and
- maintenance procedures are followed.
- Maintain checklists, logbooks, aendance records, incident reports
- and service reports.
- Track recurring complaints and implement prevenve measures.
F. AMC & Maintenance Management
- Monitor AMC acvies for lis, DG, HVAC, STP, WTP, pumps, fire
- systems, electrical systems and other equipment.
- Ensure prevenve maintenance schedules are followed.
- Coordinate with vendors and service providers.
- Verify service compleon and reports.
- Monitor breakdowns and ensure minimum downme.
G. Compliance & Statutory Requirements
- Ensure compliance with applicable labour and statutory
- requirements.
- Coordinate with HR/Admin for PF, ESI, insurance, labour compliance
- and employee documentaon.
- Ensure site-level statutory records are maintained.
- Monitor safety procedures and incident reporng.
H. Finance & Cost Control
- Monitor site-level operaonal expenses.
- Control overme, manpower costs, consumables and pey cash.
- Verify vendor bills and service invoices before submission.
- Ensure services are delivered within approved budgets.
- Idenfy opportunies for cost reducon without compromising
- service quality.
I. MIS & Reporng
Prepare and review:
- Daily site reports
- Manpower reports
- Aendance reports
- Complaint/complaint closure reports
- Incident reports
- Prevenve maintenance reports
- Client feedback reports
- Monthly operaonal MIS
- Revenue and cost reports
- Site audit reports

- Ability to work under pressure and respond to emergencies
5. Qualificaon & Experience
Educaon:
Graduate / Diploma / Engineering qualificaon preferred.
Experience:
5–10 years of experience in Facility Management, Property
Management, Hospitality, Residenal Communies, Commercial
Buildings, Integrated Facility Management or a similar industry.
Candidates with experience managing mulple sites and large
manpower teams will be preferred.
6. Authority & Accountability
- Allocate and redeploy manpower based on operaonal
- requirements.
- Escalate poor-performing employees and recommend replacement.
- Coordinate with vendors and service providers.
- Implement operaonal correcve acons.
- Recommend disciplinary acon for repeated violaons.
- Escalate major client, safety, financial or operaonal issues to
- management.
