JOB SUMMARY

Our firm is currently seeking someone to join us in a role that is critical to our clients’ success:Operations & Investments Analyst. This is an excellent opportunity for a qualified candidate to join our growing Fee-Only Wealth Management Firm. While we believe that our financial planning is at the core of our value, the accuracy of the data behind every client account is what allows that planning to be trusted.

This role is built for someone who takes real satisfaction in precision, process, and clean data rather than someone whose primary interest is security selection or building a career as a CFA-style investment analyst. The successful candidate will spend the bulk of their time maintaining the integrity of client information across our portfolio management, performance reporting, and household overview system, executing trades accurately and on schedule, and resolving discrepancies between our internal systems and outside platforms, most notably Pontera, the software used to administer and trade client 401(k) and other held-away retirement accounts.

Candidate will work closely with our Investment Manager and Operations team to keep client portfolios accurate, reconciled, and current, and will work with our Technology Manager to keep our technology stack integrated and functioning as intended.

DUTIES AND RESPONSIBILITIES
OPERATIONS & DATA ANALYST
  • Accurately maintain client personal information at the household, individual account, and asset level within portfolio management software, our portfolio management and performance reporting system.
  • Audit the accuracy of portfolio management software against data provided by third-party custodians, researching and correcting any anomalies identified.
  • Maintain connections to held-away company retirement plan accounts within portfolio management software, and reconcile differences between portfolio management software and Pontera for those 401(k) accounts.
  • Maintain client portals and household records within portfolio management software, including address changes, account closures, and profile updates requested by advisors.
  • Extract, combine, verify, and upload various bulk data across different systems as needed to maintain data integrity and produce custom reports for the firm. Ensure accuracy across the various software utilities that display or report on client portfolios, with consistent follow up research and correction of any anomalies.
  • Assist with Quarterly Reconciliation, Reporting, and Billing processes, including verification of data accuracy, report generation, and posting to client portals.
  • Help track and facilitate communication between Market Street and our technology and investment vendors, including future developments, support tickets, and integrations.
  • Work with the Compliance department to ensure all processes and information remain compliant with regulatory authorities.
PORTFOLIO OPERATIONS & TRADING
  • Monitor trading dashboards daily and execute required trades efficiently and accurately using portfolio management software, ensuring each trade is checked and reconciled against the corresponding custodian order.
  • Update target models within the trading system, reviewing target and tolerance specifications for accuracy at various levels of detail.
  • Manage appropriate cash reserves within client accounts to adequately fund upcoming withdrawals and fee deductions.
  • Review client portfolio performance on a regular basis to confirm reporting is accurate and consistent with underlying account data.
  • Create and distribute Model Deviation Reports and Deposit/Withdrawal Reports to financial planners on a regular schedule.
  • Assist financial planners with data needed for asset allocation recommendations and portfolio reviews for clients.
  • Prepare client investment performance reports and assist with client meetings as required.
  • Reconcile fund lineups and account level data for client held-away company retirement plans between portfolio management software and Pontera.
  • Work with the director of Business Retirement Planning services to complete quarterly reporting requirements, process fund change requests, and answer general questions.
  • Assist with special projects as needed by the Investments and Operations team.
QUALIFICATIONS
An ideal candidate would possess the following minimum qualifications:
  • Seeking a candidate with at least 2 years of relevant work experience, but open to conversations with great candidates who have less experience.
  • High aptitude for working with various software packages, and the ability to think critically about how the input of data impacts the output in all integrated software.
  • Genuine interest in data accuracy, reconciliation, and process improvement. This role is best suited to someone who is energized by getting the details right rather than someone whose primary ambition is to become an investment analyst or portfolio manager.
  • Desire to take a process or an action and improve it, either in the output it provides or the efficiency with which it is completed.
  • Extreme proficiency with Microsoft Excel. Knowledge of macros is helpful. Able to analyze large data files and manipulate data to efficiently find outliers that need to be resolved.
  • Proficiency with AI-assisted tools for research, document drafting, and workflow automation, with a willingness to learn and adopt new technologies as the firm’s tech stack evolves.
  • Strong written and verbal communication skills. This is particularly important as part of our team is remote during various days of the week.
  • A team player, collaborative, able to work with and through others.
  • Client first attitude and a passion to serve our team.
  • Ability to keep client, firm, and employee personally identifiable information (PII) strictly confidential.
  • Ability to manage multiple projects with varying time horizons, some urgent and others long-term but equally critical.
  • Desire to work successfully in a small company environment.
COMPENSATION AND BENEFITS

Compensation and benefits are competitive based on industry standards.

  • Compensation will be based on relevant experience.
  • Annual Bonus Plan based on individual and firm performance.
  • Benefits include a 401(k) plan with generous company contributions and paid vacation.
  • Work location flexibility with currently two days in office and three days working remotely (from personal home office).
  • Financial support for professional accreditation and continuing education requirements.
