Our Pune studio operates across two floors and around 8production PODs, each working collaboratively to deliver 3D visualisation, CGIrenders, and virtual tours. Role Summary
We are looking for a senior, mature, andhigh-ownership Office Manager / Assistant Office Manager to bring structure,discipline, and smooth day-to-day operations to our Pune studio. This personwill oversee the studio floor across all 8 production PODs on both floors —ensuring punctuality, process adherence, and a professional, disciplinedworking environment — without micromanaging the creative or technical workowned by POD Facilitators and production leads. Beyond the floor, this personwill also manage office infrastructure, the housekeeping (HK) agency, and otherfacility vendors, acting as the calm, dependable backbone of daily studiooperations.
Key Responsibilities
- Floor Discipline &Punctuality: Ensure all employees areseated and beginning work punctually at 9:30 AM sharp across both floors,addressing lapses directly, firmly, and respectfully as they arise.
- Process & ChecklistAdherence: Walk the floor regularlyacross all 8 PODs to confirm production teams are following defined processes,SOPs, and checklists, flagging any deviations to the relevant POD Facilitatoror HR.
- Staff Supervision(3D Production): Oversee general workplaceconduct, professionalism, and floor etiquette across production staff, whilestaying clear of creative or technical production decisions, which remain ownedby POD Facilitators.
- Two-Floor Coordination: Maintain a consistent, visible presence across bothfloors so that standards, cleanliness, and operational rhythm remain uniformstudio-wide, not concentrated on one floor.
- Office InfrastructureManagement: Oversee the upkeep ofworkstations, furniture, seating plans, meeting rooms, and general officefacilities, coordinating repairs and maintenance promptly so production isnever disrupted.
- Housekeeping (HK) AgencyManagement: Manage the relationship withthe outsourced housekeeping agency — staffing levels, daily quality checks,schedules, and quick resolution of any lapses in upkeep.
- Vendor & FacilitiesCoordination: Liaise with otherthird-party vendors — security, pantry/cafeteria, courier, AMC providers, andsimilar — to ensure office operations run without interruption.
- Admin & ComplianceSupport: Support HR and Operationswith day-to-day administrative tasks such as visitor management, accesscontrol, asset movement, and ID card issuance.
- Escalation & Reporting: Maintain a simple, consistent log of floordiscipline issues, facility issues, and vendor performance, escalatingrecurring or serious matters to the Operations Manager or Directors.
- Culture & Tone Setting: Act as a calm, senior, approachable authority figureon the floor — someone employees respect rather than fear — reinforcing studioculture and the P.I.X.E.L values in everyday conduct.
Requirements
- Experience: 8–12+ years in office administration,facilities/operations management, or floor supervision within a mid-to-largeorganisation, ideally a 100+ seat setup.
- Floor SupervisionBackground: Demonstrated experiencesupervising floor-based teams — whether in a BPO/ITES environment,studio/production floor, back-office operations, or similar — even if not amanufacturing shop floor.
- Vendor & FacilitiesManagement: Proven track record managinghousekeeping agencies, security vendors, and day-to-day office facilitiesend-to-end.
- Maturity & Gravitas: Senior enough in experience and presence to commandnatural respect on the floor without needing to raise their voice ormicromanage.
- Communication: A firm, clear, and calm communicator, comfortablehaving direct conversations about discipline and standards without creatingfriction.
Education
- Education: Graduate in any discipline; additional certificationin facilities or office management is an advantage.
