The ideal candidate has 5+ years in lease administration, familiarity with SAP REFX, and excellent analytical, communication, and stakeholder-management skills.

About The Role

We are looking for a Lease Administration Lead to join our Asset Management team. The role will serve as a key interface between Real Estate, Finance, Legal and Landlords. The lease administrator will be responsible for managing and maintaining the lease lifecycle for ~400 leases for the WeWork portfolio ensuring accurate lease data, timely tracking of critical contractual obligations, effective rent and financial administration, and seamless coordination with landlords and internal stakeholders. The ideal candidate will bring strong lease administration expertise, a high level of attention to detail, and the ability to drive system-led efficiencies across the lease administration function.

Roles And Responsibilities
  • Lease Lifecycle Management
    • Track and maintain all critical lease dates, including renewal, termination, escalation, notice, lock-in, and other contractual milestones.
    • Ensure accurate and timely creation, maintenance, and updating of lease records in REFX and other lease management systems.
    • Ensure Rent bill tracker for existing portfolio is maintained.
    • Prepare and maintain comprehensive lease abstracts, capturing key commercial, financial, and contractual terms.
    • Manage documentation for new leases, renewals, amendments, side letters and attornments.
    • Ensure accuracy and completeness of lease data and supporting documentation.
    • Ensure adherence to defined lease administration RACI, SOPs, and governance requirements.
  • Lease Management System Implementation
    • Support the deployment and implementation of a new lease administration software, including migration, validation, adoption across the portfolio and on-going data quality checks.
    • Develop and maintain standard lease administration reports, including portfolio reports, critical-date reports, lease status reports, and other management reports.
    • Support the development of dashboards and analytics to provide greater visibility into the lease portfolio.
  • Financial Administration and Invoicing support
    • Maintain accurate SAP REFX records for rent, parking and signage schedules in line with executed lease agreements and amendments.
    • Coordinate with Operations, Facilities, Projects and Finance to ensure timely and accurate processing of landlord payments for CAM and Utilities.
    • Track and administer rent obligations, escalations, Security deposits, CAM, utilities, and other lease-related financial commitments, as applicable.
    • Prepare and maintain monthly payment reporting for stakeholders.
    • Identify process gaps contributing to payment delays and work with relevant stakeholders to improve the end-to-end process.
  • Landlord Management
    • Complete landlord onboarding via internal tools to ensure landlords are registered and payments can be kicked-off
    • Coordinate and manage landlord-related documentation, including attornment deeds and related documentation.
    • Act as the SPOC for landlord queries relating to rent, invoicing, deposits, parking, attornments, and other lease-related matters.
  • Portfolio Strategy
    • Analyse lease and rental data to provide insights into asset-level and portfolio-level performance.
    • Prepare periodic reports and analysis covering rental obligations, lease costs, escalations, variances, and other relevant financial metrics.
Education And Desired Qualifications
  • 5+ years of relevant work experience in Lease Administration
  • Prior experience with SAP REFX preferred
  • Strong capabilities in analyzing Indian leases, understanding commercial terms & nuanced clauses
