Job Description

As an IT Manager you will be responsible for the day-to-day support of all IT systems, business systems, office systems, computer networks, CCTV and telephony systems throughout the hotel / resort. Additionally responsible for Information Technology issues, products, and services at the property. Provides user training and support of all property/site systems, network enhancements, hardware and software support. Also maintains inventory of all hardware products and software licenses, and reviews maintenance agreements.

Duties & Responsibilities

Manages and monitors the operation of all computer related services, ensures all systems are working and installed properly, and serves as the primary contact for servicing the computer related issues.

Ensures that all systems are covered by the proper maintenance contracts and that preventive maintenance is performed as required.

Continually keeps informed of approved systems and technology that may contribute to improve hotel efficiency, including, but not limited to: Computer Hardware systems and devices including PC LAN technology. Software operating and utility systems. Front Office and Accounts Receivable Property Management System (IDS). Interfaces to and from Front Office Property Management Systems and other Systems. Back Office Accounting Systems. PC and LAN based Office Automation products. Internal and External Electronic Mail / Scanner software and communication tools. Point Of Sale Systems. Guest and Administration Voicemail. Call Accounting. EPABX systems (telephone instrument and cabling). CCTV operations. Hub / Switch Management Systems. Computer Virus protection. Hotel IT Security and Firewalls. CCTV operations. Cable TV operations. TV functioning in all areas.

Provide a monthly written progress report to the General Manager, with copies to department heads.

Maintain an up-to-date list of all computer hardware.

Manages the configuration reports, job control languages, program files and data files on the computer system(s) to ensure maximum operating efficiency.

Monitors the performance of the software and maintains a log book of performance report e.g. through systems measurement facility/utility, error and integrity check reports, system malfunction and solutions.

Installs and tests approved program changes to the hotel computer system(s).

Investigates and reports software problems to the vendor and Director/GM.

Understand all standard and customized features and functions of the Hotel front office system, point of sale system, and call accounting system, including, but not limited to system security, system reports, manager functions, system utilities and user functions.

Trains the selected hotel staff to take on the major responsibilities during his/her absence.

Establishes documents, test and communicates appropriate disaster recovery emergency procedures to follow when the hotel computer system(s) are inoperable.

Ensures that all computer media saves and back-ups are completed, documented and stored per specifications.

Maintains uncompromising data and physical security standards.

Controls the key/lock for server room and ensures that the server room fire protection, temperature control, and power requirements meet the security specification as described in the security system.

Administer all user ID's, passwords, and the most sensitive system utilities, secures all touchy resources and critical libraries.

Under the direction of the Director/General Manager administer all back office user ID's, passwords, security parameters and the most sensitive utility.

Maintains technical and user documentation, systems reports, newsletters and announcements in a neat, orderly and secure fashion.

Completes and distributes activity reports, program trouble reports, and enhancement list.

Keeps informed of the latest, updated, changes, enhancement, and development in the hotel computer field by subscribing to periodicals and attending seminars, workshops or conferences held by computer companies or vendors.

Performs special project/other duties as assigned by the Management.

Conduct "Self-Audit" of systems, security and emergency procedures according to the Hotel and Financial System Security Manuals and materials.

Follows-up on all outstanding points from the latest EDP audit of his/her hotel.

Serves as the primary associate with all computer-related outside vendors.

Informs department heads when new features or changes to the system affect their department.

Notifies department heads on current computer related issues, new releases, MIS trends, viruses etc.

Coordinates purchase of program applications or enhancements to meet specific hotel needs only if these applications are not covered by existing standards prescribed by the corporate office.

Should be capable of doing Root Cause Analysis on a problem.

Must know the Network fundamentals, general network setup and device configuration.

Good knowledge of server hardware, Disk storage technology, I/O devices.

Skilled in usage of system level profiling tools and network monitoring systems to aid in application performance profiling.

Knowledge of network infrastructure, including CAT5/6 cabling, wireless networks, network switches, WAN/LAN, domain controller, Active Directory, firewall and VPN applications.

Prepare & Implement Preventive Maintenance Schedule for all IT hardware & Software.

Prepare Policy & Procedures for the IT Department and for the user department.

Antivirus setup and day to day support.

Ensure that policies and procedure relating to PCI compliance are updated.

Responsible to ensure that IT Audit points are implemented as per relevant Standard operating Procedures.

Is aware of IT Security Policies and ensures implementation through regular staff training.

Assist Management with any other priorities as may be intimated by Management time to time.

A. Human Resource Responsibilities

Works with Superior and Human Resource Manager to ensure the departmental performance of staff is productive. Duties include: Assists in planning for future staffing needs. Assists in recruiting in line with company guidelines. Prepares detailed induction program for new staff. Assists in maintaining a comprehensive, current and guest focused set of departmental standards and procedures and oversees their implementation. Ensures training needs analysis of IT staff is carried out and training programmes are designed and implemented to meet needs. Provides input for probation and formal performance appraisal discussions in line with company guidelines. Coaches, counsels and disciplines staff, providing constructive feedback to enhance performance. Regularly communicates with staff and maintains good relations.

Works with superior in the preparation and management of the department's budget. Duties include: Assists in co-ordinating the preparation of the departmental annual budget. Assists in monitoring and controlling departmental cost on an ongoing basis to ensure performance against budget. Assists in the preparation of the hotel strategic plan and Housekeeping Departmental Budget.

C. Occupational Health and Safety Responsibilities

Demonstrate Awareness of OH&S policies and procedures and ensure all procedures are conducted safely and within OH&S guidelines and ensure your direct reports do the same.

Be aware of duty of care and adhere to occupational, health and safety legislation, policies and procedures.

Be familiar with property safety, first aid and fire and emergency procedures and operate equipment safely and sensibly.

Initiate action to correct a hazardous situation and notify supervisors of potential dangers.

Log security incidents and accidents in accordance with hotel requirements.
