Job Responsibilities
Provide quality service to customers by responding to their requests promptly, efficiently, and courteously during check‑in, check‑out, and throughout their stay.
- Maintain control of guest and hotel accounts ensuring all charges are accurate and posted timely.
- Maintain strict security procedures with credit and cash, accounting procedures, issue of room keys, and guest confidentiality.
- Operate the switchboard effectively, handling all calls promptly and professionally, greeting all callers, and transferring calls to relevant departments or guest rooms.
- Document accurately all internal and guest messages and distribute according to the specified hotel procedure.
- Assist with reservations following the hotel’s standard, ensuring accurate and up‑to‑date information.
- Use opportunities to promote hotel facilities and maximize sales through sound product knowledge and selling skills.
- Control room inventory and assign rooms per guest needs.
Human Resources Responsibilities
- Induct new staff into the team and department, following guidelines within the first week of employment.
- Communicate openly with management staff, ensuring regular briefings and passing relevant information.
Systems & Procedures
- Log and inform the team leader or manager of any system problems, and suggest improvements.
- Follow policies and procedures outlined in the Departmental Service Standards / Procedures Manual.
- Complete all duties and ensure a concise hand‑over.
Health & Safety
- Use safe manual handling techniques, practice safe work habits, wear protective clothing, and maintain a clean, tidy workplace.
- Maintain procedures to minimize environmental impact and prevent pollution.
- Report any health or safety hazards, faults, repairs, cleaning needs, and accidents.
- Ensure all equipment is kept in good working order and used for its intended purpose.
- Contribute to cost control through energy conservation and correct storage of materials.
- Be fully conversant with departmental fire and evacuation procedures.
Customer Service
- Provide efficient, friendly, and professional service to all guests.
- Set an example by attending to guest requests with efficiency, striving for total customer satisfaction.
- Take initiative to ensure interactions are positive and productive; call the manager if difficulties arise.
- Work collaboratively with trust so colleagues and management meet departmental goals.
- Treat customers and colleagues from all cultural groups with respect, sensitivity, and transparency.
- Act as a “salesperson” by actively selling special promotions and facilities.
Other Responsibilities
- Ensure all required tasks are completed accurately and within given time frames.
- Participate in scheduled training and development programs.
- Ensure the workplace is free of discrimination, harassment, and victimization.
- Follow property procedures regarding grooming, performance, conduct, health and safety, and emergency procedures.
- Keep hotel, customer, and staff information confidential.
- Accept reasonable requests within competence as required by the hotel management.
- Follow hotel accounting policy and procedures.
- Facilitate the functioning of Housekeeping or other departments when necessary.
Qualifications
- Diploma / Degree in Tourism & Hospitality Management with a minimum of 1 year of experience in a similar capacity.
- Or a Bachelor’s degree in Hotel Management.
- Good working knowledge of MS Excel, Word, and PowerPoint.
- Excellent reading, writing, and oral proficiency in English.
