Job description

TheHireHub.AI is an end-to-end autopilot platform for recruitment lifecycle management. Built on insights from more than 3,000 real-world hiring projects, the platform uses advanced AI to automate sourcing, outreach, assessment, scheduling, and engagement, freeing hiring teams to focus on what matters most: human intuition. With 24/7 global capability and parallel processing power, TheHireHub.AI helps organizations reduce time-to-hire and cost-per-hire while reaching previously inaccessible talent pools. The platform is designed to empower recruiters rather than replace them, handling repetitive administrative work so hiring professionals can concentrate on strategic decisions, candidate relationships, and quality outcomes. The company serves mid-market and growth-stage organizations across India, APAC, MEA, and a growing global footprint. Founded by executive search veterans with more than 20 years of global hiring expertise, TheHireHub.AI combines recruitment knowledge with AI-driven execution. The organization values innovation, efficiency, empowerment, ownership, integrity, collaboration, continuous learning, and measurable impact. It is committed to inclusive hiring, fair access, and responsible handling of candidate and employer information. This role supports the financial discipline and operational coordination required to scale that mission responsibly.

About the Role

As Finance Executive, you will own accurate, timely finance operations while providing structured administrative and executive support to leadership. You will maintain dependable accounting records, reporting inputs, compliance documentation, payment workflows, and expense processes through disciplined use of accounting software, spreadsheets, and operating trackers. The role connects transaction accuracy with business visibility by supporting journal entries, reconciliations, financial statements, MIS reporting, vendor payments, invoicing, reimbursements, payroll inputs, and employee claims. You will coordinate with vendors, auditors, and external CA firms, ensuring information is complete and available for reviews. Alongside core finance ownership, you will help leadership stay organized through scheduling, documentation, follow-ups, and action tracking. Success means fewer errors, timely payments and filings, audit-ready records, and smoother executive and office operations.

Key Responsibilities
  • Own daily accounting records through journal entries, transaction data entry, and reconciliations, ensuring reliable books, timely issue resolution, and accurate inputs for management decisions.
  • Prepare financial statements, MIS reports, expense trackers, and supporting schedules through structured spreadsheet and accounting workflows, giving leadership clear visibility into financial performance and spending.
  • Manage vendor payments, invoicing, reimbursements, and employee expense claims by validating documentation and coordinating approvals, improving payment timeliness, control quality, and stakeholder confidence.
  • Maintain GST, TDS, and other statutory compliance documentation through organized records and deadline tracking, enabling external advisors and auditors to complete reviews with fewer gaps.
  • Support payroll processing by consolidating accurate inputs, validating employee-related information, and coordinating clarifications, helping ensure dependable payroll execution and controlled personnel costs.
  • Coordinate with vendors, auditors, and external CA firms by preparing requested data and tracking follow-ups, reducing review delays and keeping finance obligations moving to closure.
  • Support leadership with scheduling, documentation, meeting follow-ups, and action tracking, strengthening executive responsiveness and ensuring important operational commitments are completed on time.
  • Strong accounting fundamentals, taxation knowledge, and practical understanding of GST, TDS, reconciliations, financial statements, expense controls, and audit documentation are essential for dependable finance operations.
  • Advanced working proficiency in Microsoft Excel, including pivot tables and VLOOKUP, is required to build accurate trackers, analyze transactions, and produce management-ready MIS reports.
  • Hands‑on experience with Tally or similar accounting software is expected, with familiarity with Zoho Books, RazorpayX, and Google Workspace considered valuable for connected workflows.
  • Clear written and verbal communication is necessary for coordinating with leadership, vendors, auditors, CA firms, and employees while documenting decisions and resolving information gaps.
  • Strong organization, accuracy, attention to detail, prioritization, and multitasking skills are required to manage recurring finance deadlines alongside administrative and executive support responsibilities.
Additional Plus
  • Exposure to administrative coordination or executive assistant responsibilities will help you manage leadership schedules, documentation, follow-ups, and office requirements with greater independence.
  • Experience in professional services or consulting environments is advantageous because the role requires structured stakeholder coordination, responsiveness, and comfort supporting multiple business priorities.
  • Familiarity with digital finance and collaboration tools such as Zoho Books, RazorpayX, and Google Workspace can accelerate adoption and improve operational consistency.
What You'll Bring
  • You are currently pursuing CA or have completed articleship, with 1-2 years of experience in a finance or accounting role and a practical understanding of how accurate records support business decisions.
  • You bring hands‑on capability across journal entries, reconciliations, financial reporting support, vendor payments, invoicing, reimbursements, expense tracking, payroll inputs, and audit or compliance documentation.
  • You work confidently with Excel, including pivot tables and VLOOKUP, and can use Tally or comparable accounting software to maintain dependable records and produce timely information.
  • You understand GST, TDS, and related statutory requirements well enough to maintain organized documentation, track inputs and deadlines, and coordinate effectively with external CA firms or auditors.
  • You communicate clearly and professionally with leadership, colleagues, vendors, advisors, and employees, converting incomplete requests into documented actions and timely follow‑through.
  • You are highly accurate, organized, proactive, and comfortable balancing recurring finance responsibilities with ad‑hoc administrative and executive assistant support.
  • You take ownership of open items, elevate risks early, protect confidential financial information, and remain dependable when priorities shift in a growing business.
Why Join Us
  • Join a growing AI recruitment platform whose automation helps hiring teams work faster, access broader talent pools, and focus more fully on human judgment and strategic decisions.
  • Work closely with the leadership team across finance, administration, and business operations, gaining practical exposure to strategy, decision-making, and how a scaling company runs.
  • Build a multidisciplinary career through a role that combines accounting discipline, compliance, reporting, executive support, and operational problem‑solving rather than limiting you to one process.
  • Grow in a collaborative environment that values ownership, integrity, continuous learning, inclusion, fair access, and measurable impact while offering competitive compensation and professional development.
What We Offer
  • A high‑performance, collaborative work environment where your finance execution directly improves operational reliability and leadership effectiveness.
  • Close exposure to senior leadership, business strategy, and day‑to‑day operations, providing context that strengthens both finance judgment and commercial understanding.
  • A multidisciplinary role combining accounting, compliance, reporting, administrative coordination, and executive support, with opportunities to expand your responsibilities as the company grows.
  • Competitive compensation and professional growth opportunities within an organization focused on meaningful careers, inclusive access, responsible operations, and measurable business impact.
