Job summary

ESP Engineered is seeking an Executive for Program Coordination (Events & Academic Operations) to plan, organise, and execute sustainability workshops for schools, communities, and corporate partners. The role requires coordinating with schools, experts, and vendors, ensuring on-time delivery, safety, and impactful sessions.

The incumbent will manage budgets, prepare post-event reports, and maintain CRM records using Zoho.

Qualifications

• Bachelor’s degree in Event Management, Sustainability, Education, or related field.
• Master’s degree is preferred and advantageous.
• 6 years of experience in event coordination or program management.

Responsibilities

• Plan and schedule sustainability-focused workshops, field visits, and community events.
• Coordinate with schools, experts, facilitators, and vendors to finalize event details.
• Develop event timelines, checklists, and task allocations for smooth execution.
• Arrange transportation, venue setup, learning kits, and safety protocols for each event.
• Manage on-site activities, ensuring sessions run on time and participant engagement remains high.
• Oversee distribution of teaching aids and materials to participants.
• Share event updates and instructions with participants and team members.
• Network with potential leads and partners using CRM tools to maintain relationships.

Role Objective

The incumbent will plan, organize, and execute engaging experiential learning workshops and programs that promote sustainability education. This role requires translating the organization’s vision for hands-on, eco-conscious learning into well-coordinated, safe, and impactful workshops/programs for schools, communities, and corporate partners.

Key Responsibilities

• Plan and schedule sustainability-focused workshops, field visits, and community events.
• Coordinate with schools, experts, facilitators, and vendors to finalize event details.
• Develop event timelines, checklists, and task allocations to ensure smooth execution.
• Arrange transportation, venue setup, learning kits, and safety protocols for each event.
• Manage on-site activities, ensuring sessions run on time and participant engagement is high.
• Oversee the distribution of teaching aids, materials, etc.
• Share important event dates, instructions, and updates with participants and team members.
• Network with potential leads and partners, maintaining professional relationships through CRM tools (e.g., Zoho).
• Monitor event-related budgets and track expenditures.
• Prepare post-event reports, including participant feedback and recommendations for improvement.
• Ensure all events follow established safety guidelines and risk management protocols.
• Address any emergencies or unforeseen issues promptly and effectively.
• Bachelor's degree in Event Management, Business Administration, Sustainability, Education, or related field. Master's degree is most.
• Preferably 6 year of experience in event coordination or program management.
• Prior experience in education, NGO, or sustainability sectors is a plus.
