Job summary

Motorprotek India Pvt Ltd in Delhi NCR is seeking an Executive Assistant to the Director (Operations & Administration) to support daily activities, manage multiple responsibilities, and drive operational excellence. The role involves coordinating with stores, vendors, customers, and teams across departments to ensure smooth business processes.

You will act as the Director's right hand, ensuring timely MIS reporting, orderly documentation, and disciplined execution of tasks across operations,

Responsibilities

  • Work directly with the Director on daily operational activities.
  • Coordinate with store managers and ensure timely task execution.
  • Maintain MIS reports, operational records, and documentation.
  • Follow up with departments to meet deadlines.
  • Track inventory and coordinate dispatches for timely deliveries.
  • Create and manage warranty cards and records for dealers.
  • Coordinate vendor procurement, purchase orders, and payments.
  • Ensure packaging quality and branding standards before dispatch.
  • Support sales operations and dealer communications.
  • Assist HR with recruitment, onboarding, and daily reporting.
  • Coordinate with marketing for content calendars and deadlines.
  • Prepare daily, weekly, and monthly operational reports.

About the Role

We are looking for a highly organized, confident, and proactive Executive Assistant to work directly with the Director and support the day-to-day operations of Auto Catalyst Detailing Studios and Motorprotek PPF. This role is ideal for someone who enjoys managing people, handling multiple responsibilities, ensuring operational excellence, and taking ownership of business processes. You will act as the Director's right hand, ensuring smooth coordination between teams, vendors, stores, and customers.

Key Responsibilities
Operations & Administration
  • Work directly with the Director on daily operational activities.
  • Coordinate with store managers and ensure timely execution of tasks.
  • Maintain MIS reports, operational records, and business documentation.
  • Follow up with different departments to ensure deadlines are met.
Inventory & Dispatch Management
  • Track inventory across all locations.
  • Maintain stock records in Excel/Google Sheets.
  • Coordinate dispatches of products and ensure timely deliveries.
  • Monitor stock movement and prevent shortages.
Warranty & Documentation
  • Create and manage warranty cards for B2B dealers.
  • Maintain customer and dealer warranty records.
  • Ensure proper documentation and data accuracy.
Vendor & Purchase Management
  • Coordinate with vendors for procurement and supplies.
  • Manage purchase orders and follow-ups.
  • Track vendor payments and maintain payment records.
  • Ensure timely availability of required materials.
Packaging & Quality Control
  • Perform packaging quality checks before dispatch.
  • Ensure branding, labels, and packaging standards are maintained.
  • Report and resolve quality issues.
Sales & Customer Support
  • Coordinate with the sales team for reports and follow-ups.
  • Support sales operations and dealer communication.
  • Talk to customers and business partners professionally.
  • Assist in handling customer queries and resolving issues.
HR & Team Management
  • Assist in recruitment and hiring.
  • Schedule interviews and coordinate onboarding.
  • Motivate teams and ensure accountability.
  • Maintain discipline across teams and follow up on daily reporting.
Marketing Coordination
  • Create and maintain monthly social media content calendars.
  • Coordinate with the marketing team for timely content execution.
  • Track marketing tasks and deadlines.
Reporting
  • Prepare daily, weekly, and monthly reports.
  • Maintain Excel and Google Sheets dashboards.
  • Present operational updates to the Director.
Required Skills
  • Excellent communication skills in English and Hindi

Preferred Candidate Profile
  • Female candidate preferred
  • 15 years of experience in Operations, Administration, Executive Assistance, HR, or Office Management
  • Experience in automotive, retail, or service industries will be an advantage
  • Self-motivated and able to work independently
  • Quick learner with a positive attitude
  • Able to work in a fast-paced environment
