Job summary

HSBC in India is seeking an experienced Executive Assistant to provide high-level support to the Global Head of Product Control. The role requires expert diary management, travel coordination, expenses handling, and seamless administrative support.

You will cover other EAs during absences, collaborate across Product Control and Finance, and build strong relationships with stakeholders at all levels while upholding HSBC's control standards and risk awareness.

Qualifications

  • Experience as an Executive Assistant to MDs or senior leaders.
  • Strong planning and organisational abilities with multi-tasking skills.
  • Excellent written and verbal communication.
  • Proactive and confident approach to support.
  • Proficiency in Microsoft Office, especially PowerPoint.
  • Familiarity with HSBC internal systems (My Travel, Fusion, My Day, Resource Booking).

Responsibilities

  • Provide full Executive Assistant support to the Global Head of Product Control, including diary management, travel coordination, expenses and administrative tasks.
  • Provide cover for other EAs during holidays/absence within the team.
  • Collaborate with other Business Support Team members.
  • Build and maintain relationships across Product Control, Finance and HSBC staff at all levels.
  • Proactively assist teammates as workloads permit.
  • Adhere to internal controls and risk management policies and procedures.
  • Support sustainability commitments and consider operational risks in day-to-day work.
  • Maintain audit readiness by addressing issues raised by regulators and internal audits.

Purpose of the role

The role holder will sit within the Product Control Business Support Team providing senior level Executive Assistant andadministrative support to the Global Head of Product Control.

In this role, you will:
  • To provide full Executive Assistant support to the Global Head of Product Control; to include full diary management, coordination of business travel, expenses, business administration and ad-hoc tasks.
  • To provide cover for the other Executive Assistant within the Business Support Team during holidays and period of absence of Global Head of Product Control, Product Control and Product Control Senior Leadership Team, Product Control Office Manager
  • The individual will need to be a collaborator who is happy to assist & support other members of the Business Support Team.
  • Build, network, and develop existing and new relationships across Product Control, Finance and HSBC staff at all levels.
  • Proactively extend help to other team members (workloads permitting).
  • Continually reassess the operational risk associated with the role and adhere to internal controls, procedures, and policies.
  • Considers HSBC’s commitment to sustainability & carbon footprint.
  • Is aware of the Operational Risk scenario associated with the role & acts in a manner to take account of operational risk considerations.
  • Maintains HSBC internal control standards, including timely implementation of internal and external audit points together with any issues raised by external regulators.
To be successful you will:
  • Experienced Executive Assistant to MD level and multiple senior individuals.
  • Excellent planning and organizational skills and able to multi-task and priorities effectively
  • Excellent communication, written & interpersonal skills.
  • Proactive & confident approach.
  • Highly proficient in all Microsoft packages, including PowerPoint
  • Highly proficient with HSBC internals systems, including but not limited to, My Travel, Fusion, My Day, and Resource Booking
  • Highly motivated self-starter with the ability to work collaboratively within a team.
  • Confidence to interact & negotiate with individuals regardless of seniority & personalities.
