Job summary

Job description

The Contract Administration Manager will be responsible for end-to-end contract management and administration for large-scale Data Centre construction projects. The role will ensure contractual compliance, risk mitigation, change management, claims management, contractor performance monitoring, and commercial governance across Civil, MEP, Electrical, Mechanical, ELV, IBMS, Telecom, and Infrastructure packages.

The incumbent will act as the focal point between project teams, contractors, procurement, legal, finance, and project leadership to safeguard contractual interests while supporting timely project delivery.


Key Responsibilities

Contract Administration & Governance

  • Administer EPC, Civil, Structural, Architectural, MEP, Electrical, Mechanical, ELV, Telecom, and specialist contractor agreements.
  • Ensure compliance with contract terms, commercial conditions, obligations, deliverables, and milestones.
  • Maintain and manage contract registers, amendments, correspondence, notices, and documentation.
  • Interpret contract clauses and advise project teams on contractual implications.
  • Ensure contracts are executed and managed in accordance with company policies and governance frameworks.

Change Management

  • Evaluate variation orders, change requests, change directives, and scope modifications.
  • Assess contractual and commercial impact of project changes.
  • Coordinate with engineering, planning, procurement, and finance teams for approval of variations.
  • Ensure proper documentation and approval workflow for changes.

Claims & Dispute Management

  • Manage extension of time (EOT), delay claims, disruption claims, and cost recovery matters.
  • Prepare contractual notices and responses in line with contract requirements.
  • Support dispute resolution through negotiations and evidence-based claim substantiation.
  • Coordinate with legal teams on arbitration, mediation, and dispute management activities.

Commercial Risk Management

  • Identify contractual and commercial risks across project packages.
  • Develop mitigation plans to minimize exposure to schedule and cost overruns.
  • Monitor contractor compliance with contractual obligations.
  • Support project leadership in contractual decision-making.

Contractor Performance Management

  • Track contractor milestones, deliverables, liquidated damages, performance guarantees, and contractual KPIs.
  • Participate in contractor review meetings and commercial discussions.
  • Ensure timely closure of contractual obligations and outstanding issues.
  • Monitor contractor correspondence and compliance requirements.

Payment Certification & Commercial Support

  • Review contractor invoices, RA bills, and payment applications.
  • Validate supporting documents against contract provisions and project progress.
  • Coordinate with Finance, Billing, Quantity Surveying, and Procurement teams.
  • Support final account settlement and contract close-out activities.

Stakeholder Management

  • Act as the contractual interface between project teams, consultants, contractors, legal advisors, and management.
  • Support procurement during bid evaluation, negotiation, and contract finalization.
  • Ensure alignment between commercial, technical, and project delivery functions.

Documentation & Reporting

  • Maintain contract administration dashboards and reports.
  • Provide periodic updates on claims, variations, disputes, contract risks, and contractor performance.
  • Prepare management reports for project leadership and senior management.
  • Maintain auditable records for project controls and internal reviews.

Required Qualifications
Education
  • Bachelor's Degree in Civil Engineering, Mechanical Engineering, Electrical Engineering, Construction Management, Quantity Surveying, or related discipline.
  • Master's Degree / MBA preferred.

Experience
  • 10-18 years of experience in Contract Administration, Contract Management, Commercial Management, or Claims Management.
  • Minimum 5 years managing large-scale construction contracts.
  • Experience in Data Centres, Industrial Projects, Mission-Critical Facilities, Airports, Metro Rail, Oil & Gas, Power Plants, Semiconductor, or Large EPC Projects.
  • Strong exposure to EPC, Item Rate, Lump Sum, Design-Build, and PMC contracts.
