Qualifications Education
  • Bachelor's degree in Hospital Administration, Healthcare Administration, Business Administration, Nursing, or a related healthcare discipline.
  • Master's degree in Hospital Administration (MHA), Healthcare Management, MBA (Healthcare), or a related field is preferred.
Experience
  • 5 to 8 years of experience in hospital or clinic operations.
  • Minimum 2 to 3 years of leadership or supervisory experience in a healthcare setting.
  • Experience managing multi-specialty clinics, diagnostic centres, outpatient departments (OPDs), or ambulatory care facilities is preferred.

The role provides leadership to administrative, clinical support, and operational teams while ensuring compliance with healthcare regulations, organisational policies, and quality standards.

The Clinic Manager is accountable for operational excellence, patient satisfaction, workforce management, financial performance, regulatory compliance, quality assurance, and continuous process improvement. This position serves as the primary liaison between medical professionals, patients, support staff, and senior management to ensure seamless clinic operations and achievement of organisational objectives.

Key Responsibilities
1. Clinic Operations Management

Lead and manage all day‑to‑day clinic operations to ensure efficient and uninterrupted service delivery.

  • Develop, implement, and continuously improve operational policies, workflows, and Standard Operating Procedures (SOPs).
  • Monitor clinic productivity, patient flow, and operational efficiency.
  • Ensure optimal utilisation of clinic facilities, equipment, and resources.
  • Coordinate daily operational activities across all departments.
  • Maintain high standards of service quality, patient safety, and operational excellence.
  • Identify operational challenges and implement effective corrective actions.
  • Ensure timely opening, closing, and readiness of all clinic services.
2. Patient Experience Management
  • Deliver an exceptional patient experience by ensuring professional, compassionate, and timely service.
  • Monitor patient waiting times and implement strategies to improve service efficiency.
  • Address patient concerns, complaints, and escalations promptly and professionally.
  • Develop patient engagement initiatives to improve satisfaction and loyalty.
  • Ensure patient privacy and confidentiality in compliance with applicable healthcare regulations.
  • Monitor patient feedback and implement continuous service improvements.
3. Staff Leadership and Human Resource Management
  • Supervise and lead front office executives, nurses, pharmacists, technicians, housekeeping, and other support staff.
  • Recruit, onboard, train, and mentor employees in coordination with the Human Resources department.
  • Prepare and manage staff duty rosters, shift schedules, attendance, and leave planning.
  • Conduct regular performance reviews and establish individual performance goals.
  • Foster a culture of teamwork, accountability, professionalism, and continuous learning.
  • Resolve workplace conflicts and maintain positive employee relations.
  • Ensure adequate staffing levels to meet operational requirements.
4. Clinical Coordination
  • Coordinate daily schedules for physicians, consultants, therapists, and visiting specialists.
  • Ensure consultation rooms, diagnostic areas, and treatment rooms are fully operational.
  • Facilitate effective communication between healthcare providers and operational teams.
  • Support implementation of new clinical services and treatment programmes.
  • Coordinate referrals, follow‑up appointments, and multidisciplinary patient care activities.
5. Financial and Revenue Management
  • Monitor daily revenue, billing accuracy, cash collections, and financial reconciliation.
  • Ensure timely and accurate patient billing and payment processing.
  • Track operational expenses and support budget planning and cost optimisation initiatives.
  • Analyse clinic financial performance and prepare management reports.
  • Identify opportunities to improve profitability while maintaining quality of care.
  • Coordinate with finance teams regarding insurance claims, reimbursements, and revenue cycle management.
6. Regulatory Compliance and Risk Management
  • Ensure compliance with healthcare regulations, licensing requirements, accreditation standards, and organisational policies.
  • Maintain readiness for internal and external inspections and audits.
  • Ensure compliance with infection prevention and control protocols.
  • Oversee documentation, statutory records, and operational compliance reports.
  • Investigate operational incidents and implement corrective and preventive actions.
  • Promote a culture of patient safety and risk management.
7. Inventory, Procurement, and Asset Management
  • Oversee procurement and inventory management of medical supplies, pharmaceuticals, office supplies, and consumables.
  • Ensure uninterrupted availability of essential supplies.
  • Monitor stock levels, expiry dates, and storage conditions.
  • Coordinate preventive maintenance and servicing of medical equipment and clinic infrastructure.
  • Optimise inventory utilisation while minimising wastage and operational costs.
8. Quality Assurance and Continuous Improvement
  • Develop and implement quality improvement initiatives.
  • Monitor Key Performance Indicators (KPIs) and operational performance metrics.
  • Conduct regular operational audits and compliance reviews.
  • Implement corrective actions based on audit findings and patient feedback.
  • Support accreditation initiatives and quality certification programmes.
  • Promote evidence-based operational best practices.
9. Business Development and Growth
  • Support marketing initiatives to increase patient acquisition and retention.
  • Build relationships with referring physicians, corporate clients, and community partners.
  • Identify opportunities for service expansion and operational enhancement.
  • Analyse market trends, patient demographics, and competitor activities.
  • Participate in strategic planning and business development initiatives.
10. Reporting and Administration
  • Prepare daily, weekly, monthly, and quarterly operational reports.
  • Monitor clinic performance against established targets.
  • Maintain accurate records of operational activities and compliance documentation.
  • Present operational updates and improvement plans to senior management.
  • Coordinate meetings, staff briefings, and operational review sessions.
Technical Knowledge
  • Healthcare operations and administration.
  • Healthcare quality and accreditation standards (e.g., NABH, JCI, ISO).
  • Hospital Information Systems (HIS), Electronic Medical Records (EMR/EHR), and Clinic Management Systems.
  • Revenue cycle management and healthcare billing.

  • Infection prevention and patient safety practices.
  • Human resource management principles.
