Job summary

smiles.ai Bengaluru clinic is seeking an Operations & Clinic Manager to oversee the full patient journey from first consultation to treatment completion. You will ensure timely follow-ups, drive patient conversion through care coordination, and track diagnostics and treatment timelines to stay on schedule.

You will manage documentation in CRMs, maintain records for treatments and prescriptions, supervise staff, and coordinate daily operational checks.

Responsibilities

• Oversee the full patient journey—from first consultation to treatment completion.
• Ensure timely follow-ups for all ongoing and cancelled appointments.
• Drive patient conversion through consistent engagement and care coordination.
• Track diagnostics and treatment timelines (CBCT, lab work, etc.) and ensure they stay on schedule.
• Ensure all patient information and follow-up dates are logged accurately in CRMs (Q CRM, NEO).
• Maintain records for treatments, lab work, and prescriptions.
• Supervise dental assistants, receptionists, and housekeeping staff.
• Conduct daily operational checks and ensure timely reporting.
• Keep the team motivated and aligned with clinic goals.
• Ensure attendance and compliance via HR tools (e.g., Keka).
• Monitor cleanliness, equipment upkeep, and overall clinic hygiene.
• Coordinate with central teams for inventory, infrastructure, and consultant scheduling.
• Maintain petty cash records and handle day-to-day clinic issues.
• Support offline marketing activities to increase footfall.
• Drive digital content initiatives in collaboration with the central marketing team
